About the role

IAN SMART ENERGY CORP is seeking a dedicated Legal Assistant to join our legal department in Quezon City, Metro Manila. This is a full-time position that will provide essential administrative and clerical support to our legal team, ensuring the smooth operation of all legal matters within the organisation.

The Legal Assistant will be the backbone of our legal operations, managing documentation, correspondence, and providing vital support to enable our legal professionals to focus on strategic matters.

What you'll be doing
  1. Preparing and maintaining legal documents, including contracts, agreements, memoranda, and correspondence
  2. Scheduling and coordinating meetings, hearings, and legal appointments for attorneys and legal staff
  3. Managing filing systems, both physical and digital, ensuring proper organisation and easy retrieval of legal documents
  4. Drafting routine legal correspondence and communications on behalf of the legal department
  5. Processing and maintaining legal invoices, timesheets, and billing records
  6. Liaising with external parties, including courts, government agencies, and third-party legal representatives
  7. Maintaining confidentiality and adhering to strict data protection protocols when handling sensitive legal information
  8. Assisting with legal research and document compilation as required by supervising attorneys
  9. Managing calendars and tracking important deadlines, court dates, and compliance requirements
  10. Providing administrative support for legal meetings, conferences, and depositions
What we're looking for
  1. Completed secondary education; secretarial or paralegal certification or equivalent training is highly desirable
  2. Proven experience as a legal secretary, legal assistant, or in a similar administrative role within a legal environment
  3. Excellent organisational and time management skills with the ability to manage multiple priorities simultaneously
  4. Strong written and verbal communication skills in English and Filipino
  5. Proficiency with Microsoft Office Suite and experience with legal case management software
  6. Meticulous attention to detail and commitment to accuracy in all work
  7. Ability to maintain confidentiality and handle sensitive information with discretion
  8. Professional demeanor with strong interpersonal skills and the ability to work effectively with diverse stakeholders
  9. Familiarity with Philippine legal procedures and documentation requirements is advantageous
  10. Ability to work independently whilst being part of a collaborative legal team
