About the Role

We are seeking a highly motivated and organised Virtual Staff Member to join our team as an Appointment Setter & Administrative Assistant. This role is crucial in ensuring smooth operations, maintaining excellent client relationships, and supporting the Melbourne-based team with day-to-day tasks.

You will be responsible for managing appointments, handling administrative duties, and providing virtual support to both staff and clients. This is a remote role, but you will collaborate closely with our team in Melbourne.

Key Responsibilities
  • Appointment Setting & Scheduling
  • Manage calendars, book client appointments, and confirm schedules.
  • Follow up with leads and clients to secure meetings.
  • Send reminders and coordinate rescheduling when required.
  • Client Communication
  • Handle inbound/outbound calls and emails in a professional manner.
  • Provide excellent customer service by addressing client queries promptly.
  • Maintain a positive and supportive communication style.
  • Administrative Support
  • Data entry, document preparation, and record-keeping.
  • Prepare reports and update CRM systems with accurate information.
  • Assist with invoice tracking and basic finance admin.
  • General Virtual Assistance
  • Support team members with ad hoc admin tasks.
  • Research and prepare information as needed.
  • Ensure smooth communication flow between clients and staff.
Skills & Qualifications
  • Previous experience as an appointment setter, VA, or admin assistant (preferred).
  • Excellent communication skills (written and verbal).
  • Strong organisational skills and attention to detail.
  • Proficient in using tools like Google Workspace / MS Office, Zoom, and CRM systems.
  • Ability to manage time effectively and work independently.
  • Customer service mindset with professionalism and empathy.
Work Hours & Requirements
  • Ability to align with Melbourne, Australia time zone (AEST/AEDT).
  • Availability during business hours with some flexibility.
  • Stable internet connection and home office setup.
