Job Summary: We are seeking a skilled ZOHO Specialist (Executive Assistant) to support the operations of a growing building advocacy and client support business. The primary focus of this role is implementing, configuring, and building workflows within the Zoho ecosystem, alongside the delivery of high-level executive administrative support.
The ideal candidate brings strong Zoho platform expertise together with sharp organizational skills and a solutions-focused, proactive approach.
Key Responsibilities:
- Implement, configure, and maintain the Zoho CRM platform, including workflow creation, automation setup, and custom module development
- Design and refine business processes within the Zoho ecosystem to improve operational efficiency across the business
- Manage the executive's calendar, email inbox, and scheduling across multiple time zones
- Keep all client databases and records within Zoho CRM accurate, organized, and up to date
- Coordinate internal communications and maintain smooth, consistent information flow across the team
- Assist with lead tracking, structured client follow-ups, and CRM pipeline management
- Support daily administrative tasks as assigned by the business owner
- Contribute to developing and documenting standard operating procedures within the Zoho environment
- Handle inbound and outbound client communications as required
Mandatory Skills:
- Demonstrated hands-on experience with the Zoho ecosystem, particularly Zoho CRM, Zoho Projects, and workflow automation
- Ability to build, configure, and customize Zoho modules, workflows, blueprints, and integrations with third-party tools
- Strong organizational and calendar management skills
- Experience with database management and maintaining clean, accurate CRM data
- Reliable, detail-oriented, and capable of working independently with minimal supervision
- Strong written and verbal communication skills in English
- Comfortable working effectively across multiple time zones
Preferred Skills:
- Prior experience providing virtual executive or administrative support to a business owner
- Familiarity with Zoho One or additional Zoho applications such as Zoho Desk, Zoho Analytics, or Zoho Books
- Background in construction, real estate, or property-related industries
- Experience handling both inbound and outbound client-facing calls professionally
- Able to manage multiple concurrent projects without losing accuracy or quality
- Experience setting up and configuring Zoho for new business units or franchise-type operations
