DUTIES AND RESPONSIBILIITIES:
A. Record Keeping: Assist in maintaining and updating employee 201 files, both physical and digital, ensuring accuracy and confidentiality.B. Document Preparation: Assist in creating and processing employment-related documents like offer letters, onboarding paperwork, memo, and non-conformities
C. Communication: Answering employee inquiries, managing correspondence, relaying messages and ensuring clear communication within the HR department and with other teams except confidential matter that only HR Officer can do.
D. Office Management: Maintaining office supplies and ensuring the smooth operation of the HR Office
E. Data Entry: Accurately entering and managing employee data in HR Data Files (NAS), Company loans record and monthly employee attendance record.
F. Recruitment and Onboarding
- Job Posting: Assisting with drafting and posting job openings on various platforms.
- Candidate Screening: Conducting initial screenings and scheduling interviews
- Onboarding: Coordinating orientation programs, preparing onboarding materials and assisting new hires with onboarding process
- Background Checks: Assisting with background checks and verifications for new employees.
- Payroll Processing: Assisting with payroll preparation, ensuring accurate time and attendance tracking and addressing payroll-related questions.
- Benefits Administration: Supporting the HO HR Officer with benefits enrollment and answering selected queries/questions about employee benefits.
- Leave Management: Tracking employee attendance, vacation, and sick leave.
- Policy implementation: Assisting in the implementation and communication of new HR policies and procedures.
- Employee Relations: Addressing employee queries and concerns, escalating issues to the HR Officer when needed.
- Event Coordination: Assisting with the planning and execution of HR-related events, such as employee recognition, events, and training sessions.
- Reporting: Assisting in generating a report (e.g., biometrics record) for timekeeping purposes and/or as needed
- Branch visits will be required when there are Human Resource-related requirements.
- Performs other official tasks that will be relayed by the HR Officer/General Manager as needed.
