Role summary:

The HR Associate role provides comprehensive support for employee benefits, compensation, and payroll. They ensure everything is compliant with government regulations, manage employee data, and act as a liaison between employees and government institutions.

In short, they keep the wheels turning behind the scenes to make sure employees are paid accurately and have access to the benefits they deserve.

Responsibilities:

Employee Onboarding & Engagement:

  • Manage the employee onboarding process, including new hire orientation and engagement initiatives.
  • Facilitate a smooth transition for new employees into the company culture.

HR Policy & Compliance:

  • Provide guidance and support to employees on company policies, procedures, and Philippine labor laws.
  • Recommend innovative solutions and procedures to enhance departmental efficiency while ensuring compliance.

Employee Relations Management:

  • Investigate and resolve employee relations concerns, complaints, and grievances in a timely and confidential manner.
  • Collaborate with employees, management, and operations to achieve fair and effective resolutions.
  • Enforce company policies and procedures, including conducting fair and consistent disciplinary actions.

Performance Management:

  • Monitor performance management processes for probationary and regular employees.

Employee Separation:

  • Process post-employment clearances and offboarding for separated employees.
  • Conduct exit interviews to gather valuable feedback and improve employee relations strategies.

Payroll Processing:

  • Prepare semi-monthly payroll
  • Review time and attendance data to ensure accuracy before processing payroll.
  • Calculate and withhold taxes according to government regulations.
  • Prepare final pays
  • Process and reconcile year-end payroll data, including payment summaries.

Remittance Management:

  • Prepare monthly reports for SSS, PhilHealth & Pag-IBIG remittances and loan payments.

Data Management and Recordkeeping:

  • Maintain accurate and up-to-date payroll records.
  • Update payroll records with changes in employee exemptions and deductions.
  • Conduct internal audits to ensure compliance with payroll standards and maintain internal records.

Employee Support:

  • Assist with attendance trackers and timekeeping processes.
  • Facilitate employee queries and complaints concerning salaries and wages.
  • Conduct employee cascade sessions to discuss administrative concerns and payroll concerns.

Confidentiality and Accuracy:

  • Maintain strict confidentiality of payroll transactions and employee data.
  • Resolve payroll discrepancies in a timely and efficient manner.

Benefits Administration & Compliance:

  • Ensure benefits policies and procedures are properly implemented and compliant with government regulations.
  • Process and monitor employees' availment of government-mandated benefits (SSS, PhilHealth, Pag-IBIG) and company-initiated programs.
  • Process enrollment reports for new hires to SSS, PhilHealth, and Pag-IBIG.
  • Maintain and update accurate benefits databases.
  • Act as a liaison with government institutions like SSS, PhilHealth, and Pag-IBIG.
  • Process statutory compensation-related documents (Certificate of Contribution, Maternity, Sickness benefit certification, reimbursements, etc.)
  • Process the filing of employees' maternity, sickness, and other notifications with SSS, ensuring completeness of requirements.
  • Assist in securing mandatory requirements for new hires (Tax Identification Number, PhilHealth, SSS, and Pag-IBIG numbers).
  • Endorse newly regularized employees to HMO and Group Life Insurance.
  • Formulate and revise benefits policies, as needed.

Employee Support & Communication:

  • Assist with the onboarding process, explaining benefit options to new hires.
  • Manage employee benefits enrollment, changes, and terminations.
  • Process claims and answer benefit-related inquiries from employees in a timely and courteous manner.
  • Orient newly eligible employees and process enrollment forms, changes, and loan requests.
  • Provide assistance in communicating information to employees about benefit programs, procedures, changes, and government-mandated disclosures.
  • Assist in HR-initiated events such as cascade sessions and special projects.

Qualifications:

  • Bachelor's degree in HR, Business Administration, or a related field (preferred).
  • At least 1 year of relevant experience in employee relations, benefits administration and/or payroll
  • Strong understanding of Philippine labor laws and government regulations related to employee relations, benefits and payroll.
  • Excellent analytical and problem-solving skills.
  • Proficiency in MS Office Suite and payroll software (a plus).
  • Excellent communication and interpersonal skills.
  • Ability to work independently and collaboratively.
