Job Description:

We are seeking an experienced Systems Specialist to help manage, administer, optimise, and govern our SAP SuccessFactors environment. Supporting People Systems and Operations Manager, this role will serve as an internal system administrator and subject matter expert, responsible for maintaining configuration, system performance, data quality, reporting support, and continuous improvement across multiple SuccessFactors modules.

The role will also partner closely with our Managed Services Provider (MSP) to log, coordinate, and resolve issues and change requests that fall outside of internal system access or scope.

This is a senior-level, hands-on systems role suited to someone who can confidently make configuration changes, manage governance, support reporting needs, and proactively maintain system integrity, data quality and performance.

Key Responsibilities

System Administration & Configuration
  • Act as a System administrator for SAP SuccessFactors, responsible for maintaining and optimising the following modules:
  • Employee Central (EC)
  • Onboarding
  • Time Off
  • Performance & Goals
  • Succession & Career Development
  • Learning Management System (LMS)
  • Employee Central Payroll (ECP)
  • Edit and maintain fields, objects, business rules, and workflows.
  • Update and manage performance and goal plan templates.
  • Configure and maintain Role-Based Permissions (RBP).
  • Manage picklists, foundation objects, and MDF objects.
  • Support organisational changes and data updates within EC.
  • Ensure system configuration aligns with governance and best practice.
  • Reporting & Analytics Support
  • Build, maintain, and enhance system reports across SuccessFactors modules.
  • Develop and maintain Story Reports (People Analytics) as required.
  • Support ad-hoc reporting requests from stakeholders.
  • Ensure reporting data accuracy and consistency across modules.
  • Conduct data validation and reconciliation between EC, ONB modules, LMS, and ECP where required.
  • Maintain appropriate reporting access through Role-Based Permissions.
  • Support ongoing improvement of reporting capability and usability.
  • Change Management & MSP Partnership
  • Log and manage incidents, service requests, and change requests with the MSP.
  • Translate business requirements into functional specifications.
  • Execute testing (UAT) and validation of system changes delivered by the MSP.
  • Track and monitor open tickets through to resolution.
  • Release & System Governance
  • Support SAP SuccessFactors bi-annual release management:
  • Attend H1 & H2 release meetings with MSP
  • UAT testing on updates and new features
  • Support change management activities for stakeholders
  • Assist in maintaining system documentation and configuration workbooks.
  • Monitor integration points between SuccessFactors and connected applications.
  • System Performance & Data Quality Management
  • Monitor system performance and proactively identify issues.
  • Conduct regular data audits to ensure data integrity and quality.
  • Maintain data governance standards.
  • Ensure consistency between system data and reporting outputs.
  • Stakeholder Engagement
  • Act as a systems Subject Matter Expert to HR and business stakeholders for SuccessFactors queries.
  • Provide advice on system capabilities and best practice configuration.
  • Support reporting queries and interpretation of system data.
  • Assist with user access management and troubleshooting.
  • Deliver knowledge sharing sessions where required.

Qualifications and requirements:

Skills & Experience Required
  • 5+ years’ experience administering SAP SuccessFactors.
  • Strong system administrator experience across:
  • EC (essential)
  • Performance & Goals

  • LMS

  • ECP (highly desirable)
  • Experience building reports within SuccessFactors, including Story Reporting (People Analytics).
  • Experience working for an Australian based company or BPO.
  • Understanding of cross-module reporting and data reconciliation.

  • Foundation Objects
  • Experience supporting Half-yearly SuccessFactors releases.
  • Experience working within an MSP/vendor support model.

  • Ability to work autonomously in an offshore support model.
