Key Responsibilities

Service Coordination: Receiving, logging, and prioritizing customer service requests.
Documentation & Billing: Preparing invoices, processing work orders, and ensuring accurate billing for completed services.

Customer Communication: Acting as the first point of contact to handle inquiries, complaints, and service updates.

Record Maintenance:

-Maintaining organized records of service transactions, customer data, and reports. Maintain proper documentation and records for all after-sales activities, ensuring compliance with company policies and audit requirements.
  • Act as point person in assuring that Accounting Dept has all relevant data and documentation with regards to service operations to ensure accurate records.

Administrative Support:

  • Assisting with inventory tracking, ordering office supplies, and supporting the service team with clerical tasks.
  • Coordinate with distributor/s for reporting, as directed by the Service Supervisor.
Technical Knowledge & Skills
 A.  Strong computer skills, including MS Office (Excel, Word, Outlook).
 B.  Basic understanding of inventory management and service workflows.
 C.  Strong attention to detail, accuracy, and process compliance.
 D.  Effective communication skills across multiple platforms (email, phone, chat).

 E.  Ability to track, monitor, and make reports related to spare parts and service delivery.

Key Qualifications & Requirements

Education: College graduate or degree holder of Business, Office Administration or related course

Experience: At least a minimum of 1–2+ years in an administrative, clerical, or customer service role in an automotive industry is an advantage but not required.

Computer Skills: Proficiency in MS Office (especially Excel for reporting), CRM systems, and specialized dealership software (e.g., SAP, CDK, ADP).
Industry Knowledge: Basic familiarity with technical equipment, warranty processes, or automotive parts is often preferred.

Communication: Excellent verbal and written skills for managing customer inquiries and collaborating with technical teams.
