Job Summary:
We're seeking a detail-oriented, resourceful Healthcare Virtual Assistant to support the launch and growth of a telehealth practice. The primary focus of this role is managing multi-state medical licensing and credentialing — preparing, submitting, and tracking applications across multiple U.S. states. The ideal candidate also has hands-on experience navigating and building simple websites and can help set up the systems and processes needed to onboard patients as the practice grows.

This is a great fit for someone organized, proactive, and comfortable owning administrative work with minimal supervision.

Key Responsibilities:

  • Prepare and submit medical licensing applications across multiple U.S. states
  • Track state-by-state licensing requirements, deadlines, and application status
  • Organize and manage credentialing documentation
  • Assist with building and navigating a practice website using platforms such as WordPress, Squarespace, or Wix
  • Set up booking and scheduling integrations for patient appointments
  • Help configure and manage the practice's EHR system (e.g., Practice Better)
  • Build and maintain patient onboarding processes and basic automations
  • Provide general administrative support for the day-to-day operations of the practice
  • Adapt to shifting weekly priorities as the practice launches and scales

Mandatory Skills:

  • Experience with U.S. medical credentialing and multi-state licensing processes
  • Familiarity with state licensing requirements and application workflows
  • Working knowledge of website builders such as WordPress, Squarespace, or Wix
  • Experience with booking/scheduling tools and integrations
  • Strong organizational skills and the ability to manage detailed, document-heavy processes
  • Dependable, detail-focused, and able to work independently with minimal oversight
  • Strong communication skills and a professional, proactive approach

Preferred Skills:

  • Prior experience supporting a telehealth or healthcare practice
  • Familiarity with EHR platforms, especially Practice Better
  • Experience setting up patient onboarding workflows and automations
  • Ability to take initiative and suggest improvements to processes
  • Ability to manage multiple tasks and priorities at once
Why Join Us:
This is an exciting chance to get in at the ground floor of a growing telehealth practice and play a key role in getting it off the ground. You'll have meaningful ownership, variety in your day-to-day work, and the chance to build systems from the start.

If you enjoy solving problems and helping a mission-driven practice grow, you'll thrive here.
