Job Overview

Our client is looking for an organizational backbone for a busy real estate team, transforming their backlog of administrative projects into polished, efficient systems. This role gives you ownership over creating client-facing resources, managing transaction timelines, and building databases that directly support the team's growth.

You'll work independently on structured projects with clear direction, then evolve into ongoing transaction support as the relationship develops.

Client Overview

Our client is a real estate sales team operating under a larger brokerage. They are a small, dynamic team focused on residential real estate transactions and are seeking to streamline their administrative operations to allow the agents to focus on client-facing activities and revenue generation.

Schedule
  • Monday - Friday, 8:00 AM - 5:00 PM Central Time, with 1 hour unpaid (40 work hours per week)
Responsibilities
  • Create and organize a comprehensive buyer's guidebook for client distribution
  • Develop a seller's guidebook with all necessary transaction information
  • Build and maintain a preferred vendors database with contact information and specialties
  • Research and compile prospecting lists and marketing address databases
  • Send templated post-closing review request emails to clients on specified dates
  • Extract key dates from real estate contracts and input them into team calendars to prevent missed deadlines
  • Organize and format information provided by the team into polished, usable resources
  • Manage email communications using pre-written templates for client touchpoints
Requirements
  • Proven experience in real estate, property management, or related administrative roles
  • Strong organizational skills with attention to detail and accuracy
  • Proficiency in Microsoft Office suite
  • Professional written and verbal communication skills
  • Ability to work independently and manage multiple projects simultaneously
  • Experience creating and maintaining databases and reference materials
Preferred Qualifications
  • Bonus if you have experience with real estate transaction coordination
