Job Description
We’re seeking a detail-oriented Virtual Medical Practice Assistant to join our dynamic team during an exciting period of expansion. In this role, you’ll be the vital link between our practice and our patients, ensuring smooth daily operations while supporting our mission to deliver exceptional behavioral healthcare.As we scale our operations and introduce innovative treatment modalities, you’ll have the opportunity to grow with us and develop expertise in advanced healthcare administration. This remote position offers the perfect blend of administrative coordination and patient care support, allowing you to make a meaningful difference while working from the comfort of your home office.
Responsibilities- Serve as the first point of contact for patient communications, handling incoming calls with exceptional professionalism and care
- Manage the practice’s scheduling system, ensuring optimal patient flow and provider productivity
- Process and track insurance prior authorizations, maintaining accurate documentation and follow-up
- Coordinate with insurance companies and maintain detailed records of all communications
- Support the practice manager in implementing new operational procedures as the practice expands
- Assist in coordinating patient care for new treatment modalities including TMS and IV therapy
- Maintain accurate and confidential patient records in compliance with HIPAA regulations
- Facilitate smooth communication between patients, providers, and staff
- Support the practice’s growth initiatives through efficient administrative management
- Contribute to creating and maintaining a positive patient experience from first contact through follow-up care
- Minimum 2 years of experience in healthcare administration or medical office setting
- Demonstrated expertise in medical scheduling and insurance prior authorization processes
- Strong understanding of HIPAA compliance and medical privacy requirements
- Excellent phone manner and professional communication skills
- Advanced proficiency in English, both written and verbal
- Strong organizational abilities with exceptional attention to detail
- Demonstrated ability to handle multiple tasks while maintaining accuracy
- Experience with medical office software and scheduling systems
- Reliable high-speed internet connection and quiet home office setup
- Ability to work independently while maintaining strong team collaboration
- Comfort with technology and adaptability to new software systems
- Professional, positive attitude with a commitment to patient care
- Ability to maintain composure in fast-paced situations
