As a Compliance Coordinator & Administrative Assistant, you'll support franchise compliance with care standards, coordinate task tracking, conduct audits, and provide essential administrative support to ensure quality service and operational excellence.

Salary: PHP31,000 to PHP44,000

- 3-5 years of experience in an administrative, compliance, or coordination role
- Prior experience in healthcare, home care, or medical administration preferred
- Experience in data analysis and data entry
- Analytical capabilities, with the ability to understand and interpret data effectively
- Experience using care management systems like Birdie, People Planner, and DNA (training provided)
- Detail-oriented with strong organizational skills
- Excellent written and verbal English communication skills
- Understanding of care delivery standards and legislation to flag non-compliance
- Familiarity with medication regulations (training provided)
- Proficiency in Microsoft Office and virtual platforms; quick to learn new systems
- Highly resilient, positive, and professional in high-pressure environments
- Strong organization and prioritization skills with accuracy under pressure
- Team player with excellent interpersonal and rapport-building skills
- Sharp attention to detail and ability to manage multiple tasks
- Logical, analytical thinker who works independently and meets deadlines
- Experience with Power BI is a plus (not required)
- Knowledge or experience in medical or care delivery settings is a bonus
- Maintain an ongoing and focused review on our compliance status with respect to the Franchise Standards, including CQC regulations.
- Bring to the attention of management any areas of non-compliance in a timely manner.
- Ensure that any areas of non-compliance have an action plan to make them compliant.
- Provide ongoing administrative support, acting as a compliance coordinator and personal assistant to ensure task tracking and timely execution of critical office functions.
- Identify any activity, documents, or record-keeping that have not been completed in a compliant manner, including:
- Reviewing daily notes and flagging FCS of any issues that need attention.
- Looking for trends in client feeds on Birdie and observation notes.
- Checking medication e-MARs.
- Reviewing care plans.
- Training and matching new Care Professionals.
- Monitoring and compiling data from My Learning Cloud.
- Auditing activity logs to ensure proper documentation and record-keeping.
- Reviewing EMOS (Electronic Medication Order System).
- Log onto DNA, run reports for each office, then compile data.
- Review scheduling reconciliations daily and alert Operations Manager/Accounts of any areas of concern.
- Conduct reporting and gather statistics from each office, compiling data into tables for comparison.
- Take data output from DNA and compile reports.
- Support CQC inspection readiness monthly with a focus on indexed documentation.
- Conduct a rolling compliance audit of Franchise Standards.
- Report weekly to Field Care Supervisors, who will escalate to management if required.
- Act as a Compliance Coordinator & Administrative Assistant:
- Monitor and track daily tasks, especially between Friday and Sunday.
- Track compliance requirements, due dates, and ensure follow-through.
- Ensure Care Professionals complete required modules in My Learning Cloud.
- Maintain accurate documentation in client folders and ensure all required information is up to date.
- Support care professional and client compliance efforts.
- Serve in a personal assistant capacity to ensure timely completion of administrative tasks.
- Provide general administrative office support, such as contacting pharmacies and coordinating logistics.
- Assist with additional ad hoc administrative tasks across the office as needed.
