Executive Assistant / Virtual Assistant (Day Shift)
Overview
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant / Virtual Assistant to provide comprehensive support to our Partners/Directors. This role is ideal for someone who thrives in a fast-paced professional environment, enjoys managing multiple priorities, and takes pride in delivering high-quality administrative and operational support.

Key Responsibilities
Executive Support:
Manage complex calendars, schedule appointments, coordinate meetings, and organize domestic/international travel arrangements.
Communication & Correspondence:
Handle emails, calls, and written correspondence professionally on behalf of Partners/Directors, ensuring timely follow-ups and clear communication.
Meeting Coordination:
Prepare agendas, compile meeting materials, attend meetings when required, and record accurate minutes and action items.
Reporting & Administration:
Assist with timesheets, expense processing, WIP tracking, CRM updates, and internal reporting to ensure accurate and timely records.
Operations & People Support:
Provide support for recruitment coordination, onboarding/offboarding processes, staff events, and other people operations initiatives.
Performance & Compliance Support:
Assist with performance review coordination, documentation, and maintaining confidentiality while adhering to company policies and compliance requirements.
Relationship Management:
Build and maintain strong working relationships with internal teams and external stakeholders, acting as a reliable and professional point of contact.
Requirements
Minimum 1 year of experience as an Executive Assistant, Virtual Assistant, or in a similar administrative role (experience in professional services is highly preferred).
Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Excellent written and verbal communication skills.
Exceptional organizational and time management abilities.
Strong attention to detail and problem-solving skills.
Ability to manage multiple tasks, prioritize effectively, and work proactively both independently and within a team.
High level of professionalism, discretion, and confidentiality.
