Job Summary
The HR and Admin Supervisor is responsible for overseeing day-to-day HR operations, employee documentation, compliance management, and administrative functions of the organization. This role ensures accurate and efficient implementation of HR processes, maintains compliance with labor regulations and company policies, and oversees office administration and employee support services.The position plays a critical role in ensuring operational efficiency, proper documentation, and a well-organized workplace environment.
Key Responsibilities
HR Operations & Employee Documentation- Oversee end-to-end HR operational processes including onboarding, employee movement, regularization, offboarding, and records management.
- Ensure employee 201 files, contracts, and HR documentation are complete, updated, and properly maintained.
- Monitor and maintain accuracy of employee data within HR systems and records.
- Prepare HR-related reports, documentation, and government compliance requirements.
- Ensure compliance with Philippine labor laws, company policies, and government-mandated requirements.
- Handle documentation and submission requirements related to DOLE, SSS, PhilHealth, Pag-IBIG, and other regulatory agencies.
- Support implementation and communication of HR policies, procedures, and company guidelines.
- Coordinate internal audits and ensure HR documentation readiness.
- Supervise office administration, facilities coordination, and general administrative support functions.
- Manage office supplies, vendor coordination, and administrative service providers.
- Ensure proper maintenance of office facilities and workplace organization.
- Support company events, meetings, and employee-related administrative activities.
- Serve as point of contact for employee concerns related to HR documentation, company policies, and administrative matters.
- Coordinate with department heads regarding HR operational requirements and compliance matters.
- Ensure timely processing of employee requests and administrative concerns.
- Identify opportunities to improve HR operational efficiency and administrative processes.
- Develop and maintain standard operating procedures (SOPs) for HR and administrative functions.
- Prepare operational reports and compliance updates for management.
- Bachelor’s degree in Human Resources, Psychology, Business Administration, or related field.
- Minimum of 4–6 years of experience in HR operations, HR administration, or office administration, with supervisory exposure.
- Strong knowledge of Philippine labor laws and government compliance requirements.
- Experience handling employee documentation, records management, and administrative operations.
- Strong organizational, coordination, and problem-solving skills.
- Proficient in MS Office applications and HRIS systems.
- Excellent communication and stakeholder management abilities.
- Experience in manufacturing, Power, or multi-site operations is an advantage.
- Exposure to HR process improvement and audit/compliance management.
- Background in facilities or office administration is preferred.
