We are seeking a detail-oriented and organized Office Secretary to join our team. You will be the primary point of contact for our office, handling everything from front-desk reception to vital administrative tasks that keep our business running smoothly.The ideal candidate is a proactive problem-solver with excellent communication skills and a professional demeanor.
Key Responsibilities- Administrative Support: Manage executive schedules, coordinate meetings, and prepare necessary documents or presentations.
- Communication Hub: Answer and route incoming calls, manage the general company email, and handle all physical mail/deliveries.
- Visitor Relations: Greet clients and guests warmly, ensuring they are directed to the appropriate department or person.
- Data Management: Maintain and update digital and physical filing systems, ensuring all records are accurate and easily accessible.
- Office Logistics: Monitor and restock office supplies, coordinate with vendors, and ensure the office environment remains clean and organized.
- Financial Tasks: Assist with basic bookkeeping, such as processing invoices, tracking expenses, or managing petty cash.
- Experience: Proven experience as an office secretary, administrative assistant, or in a similar clerical role.
- Technical Proficiency: Strong command of Microsoft Office Suite (Word, Excel) and experience with office equipment (scanners, printers, phone systems).
- Communication: Exceptional verbal and written communication skills with a focus on professional etiquette.
- Organization: Superior time-management skills and the ability to multitask in a fast-paced environment.
- Discretion: Ability to handle sensitive and confidential information with the utmost integrity.
- Associate’s or Bachelor’s degree in Business Administration or a related field is a plus.
