Overview:
We're looking for a highly organized and proactive Executive Assistant to provide day-to-day support in managing tasks, calendars, emails, and expenses. This role is ideal for someone who thrives in a dynamic environment and enjoys helping others stay organized and efficient.
Key Responsibilities:
- Task Management: Track and organize daily to-do items, ensuring timely completion of recurring and ad hoc tasks (510 per day).
- Calendar Management: Schedule, confirm, and manage appointments and meetings. Monitor daily agendas and flag scheduling conflicts or gaps.
- Email Management: Organize and prioritize the inbox, flag important messages, and draft or respond to emails when appropriate.
- Expense Tracking: Log and categorize expenses, ensure timely reporting, and keep records organized for future reference.
- Daily Check-Ins: Conduct brief daily check-ins to review priorities, appointments, and any updates that need attention.
What We're Looking For:
- Proven experience as an Executive Assistant, Administrative Assistant, or in a similar support role
- Strong organizational and time management skills
- Excellent written and verbal communication
- Tech-savvy, with proficiency in tools like Google Workspace, Microsoft Office, task managers (e.g., Asana, Todoist), and calendar/email platforms
- High attention to detail and a proactive mindset
- Discretion and ability to handle sensitive information with confidentiality
