JOB DESCRIPTION AS AN EXECUTIVE ASSISTANT:
Your Responsibilities as an Executive Assistant will be:
- Accountability Partner: This is one of the most critical parts of the role. You must be confident and assertive enough to hold the executive accountable—pushing them to follow through on tasks, stay focused, and maintain their commitments. You’ll be their right-hand support, ensuring nothing important slips through the cracks.
- Email & Inbox Management: Filter and prioritize emails, ensure timely responses and follow-ups.
- Calendar & Scheduling: Efficiently plan meetings to avoid overload and ensure focus.
- Project Coordination: Support initiatives like launching a client WhatsApp community and keeping communications consistent.
- AI & Systems Support: Work with Motion for task scheduling and productivity—learn its features and help integrate it effectively into daily operations.
- Invoicing & Admin: Ensure timely invoice issuance and maintain financial records.
- Travel & Logistics: Coordinate domestic and international travel as needed.
- Team & Client Liaison: Support communication between internal team members and external clients.
- Additional Duties: Take on administrative tasks to help operations run more efficiently.
Qualifications as an Executive Assistant:
- Bachelor’s Degree graduate (any field).
- No minimum experience required, but prior exposure to administrative roles or Executive Assistant (even 6–8 months) is a plus.
- Strong organizational and time management skills.
- High assertiveness and confidence—you’ll be keeping the executive on track and accountable.
- General office software proficiency (Microsoft 365, calendars, emails).
- Previous experience with Xero or similar invoicing software is a plus
- Interest in AI and digital tools—this role includes exposure to AI-powered productivity systems like Motion.
- Excellent written and verbal communication.
- Willingness to learn on the job—the client will personally train the right candidate.
