Role Overview

Remco BPO is looking for a versatile, proactive, and highly observant Executive Assistant & Operations Coordinator to serve as the "right hand" to the President and a support pillar for the HRA Supervisor.

We need a "closer"—someone who is exceptionally organized, initiates tasks without being told, and maintains high focus. You will be responsible for ensuring the office runs smoothly, data is accurate, and the team is held accountable to company standards

Key Responsibilities:

  1. Presidential & Administrative Support
  • Provide direct administrative assistance to the President, including managing schedules and complex reporting.
  • Act as a flexible "backup" for the HRA Supervisor on administrative tasks as needed.
  • Handle various ad-hoc tasks and projects that support the general team operations; no task is too small or too large.
  1. Performance Monitoring & Audit
  • KPI Verification: Conduct "round checks" on e-commerce team performance and other active accounts. Cross-verify team-reported numbers against raw data to ensure accuracy.
  • Monthly Evaluations: Assist in the monthly staff evaluation process. You will be responsible for collecting reports from staff and supervisors, gathering evidence (such as screenshots), and laying them out in a clean, organized report for review.
  • Flagging: Identify and flag any suspicious data or performance discrepancies directly to the President.
  1. HR Compliance & Attendance Support
  • Attendance Monitoring: Daily tracking of staff attendance. Proactively flag individuals who require warnings or a Notice to Explain (NTE) for excessive lates or absences based on the Employee Handbook.
  • Documentation: Assist the HRA Supervisor with filing, 201 file management, and coordination of company events. (Birthdays, Team Building, Year end party and the likes)
  • Policy Oversight: Ensure all office policies regarding cleanliness, order, and conduct are being followed.
  • Note: Your role is to gather facts and report; the HRA Supervisor will handle all direct confrontations or disciplinary corrections.
  1. Inventory, Purchasing & Maintenance
  • Pantry Management: Daily monitoring and refilling of snacks/drinks in the pantry.
  • Inventory & Purchasing: Maintain a full inventory of office supplies. Identify needs, canvas for the best prices, and assist in the actual purchase or ordering of supplies.
  • Maintenance Oversight: Walk the floor to identify maintenance issues (AC, lights, plumbing, furniture) and coordinate repairs immediately.
Qualifications & Character Traits
  • Experience: 1–2 years in Administrative, Executive Assistant, or Office Support roles (BPO experience preferred).
  • Technical Skills: Proficient in Microsoft Excel/Google Sheets (for data audit) and basic reporting tools.
  • Initiative & Autonomy: You must be able to work without constant supervision. You see a problem (like a low snack bin or a data error) and fix it or report it immediately.
  • High Organization & Focus: You have the mental discipline to catch small errors in attendance or performance logs.
  • Honesty & Integrity: You are the "eyes and ears" of the President; absolute honesty in reporting is non-negotiable.
  • Humble Attitude: You are willing to perform "ground-level" tasks like pantry refilling while also handling high-level reports.

Additional Notes:

  • A 2-week paid trial period will be required prior to the official employment or probationary period → This allows both parties to ensure fit and alignment → You will be compensated for the trial even if not officially employed during this stage
