Job Description
Biosite Medical Instruments, Inc. is looking for a highly organized, results-driven, and process-oriented Supply Chain Manager to lead and manage the company’s supply chain operations, order fulfillment cycle, inventory monitoring, documentation compliance, and cross-functional coordination.
The Supply Chain Manager will be responsible for ensuring the efficient, timely, and accurate delivery of products to customers. This includes managing order processing, monitoring backorders, overseeing inventory levels, ensuring complete documentation, generating operational reports and forecasts, and working closely with Procurement, Warehouse, Sales, Customer Service, Finance, and Logistics teams.
This role requires a strong leader who can drive accountability, improve workflows, resolve operational bottlenecks, and ensure compliance with company policies, internal controls, and relevant regulatory standards.
Key Responsibilities
Order Fulfillment and Backorder Management- Oversee the end-to-end order fulfillment process, from order receipt to final delivery.
- Ensure that customer orders are processed accurately and dispatched on schedule.
- Monitor and track all backorders, ensuring timely follow-up and full completion.
- Coordinate with Procurement and Warehouse teams to prioritize and resolve backorder concerns.
- Maintain an updated backorder monitoring file with real-time status updates.
- Ensure complete and timely receipt of all supporting documents, including purchase orders, delivery receipts, sales invoices, packing lists, and goods received notes.
- Validate that all documents match actual deliveries and system records.
- Coordinate with Finance for billing, reconciliation, audit preparation, and compliance matters.
- Ensure proper filing, tracking, and systematic storage of supply chain documents for easy retrieval and legal compliance.
- Conduct regular inventory monitoring, reconciliation, and stock level review across warehouses and assigned locations.
- Ensure accurate inventory records and proper stock movement monitoring.
- Implement FIFO or FEFO practices depending on product requirements.
- Monitor near-expiry and expired items, generate reports, and recommend timely action plans.
- Coordinate physical inventory counts and investigate inventory discrepancies.
- Prepare and submit regular supply chain reports, including:
- Order fulfillment rate
- Backorder status and aging
- Inventory levels, turnover, and valuation
- Expiry reports and recommended action plans
- Delivery lead times and vendor performance
- Supply-demand forecasts
- Work with Sales and Procurement teams to align inventory forecasts with business trends and historical data.
- Provide actionable insights and recommendations based on data analysis.
- Collaborate with Sales and Customer Service for accurate order capture and customer updates.
- Coordinate with Procurement for supply planning and stock replenishment.
- Work closely with Logistics and Warehouse teams for efficient dispatch and stock handling.
- Coordinate with Finance for documentation, billing, and reconciliation.
- Lead regular operational meetings to review pending deliveries, backorders, inventory concerns, and process issues.
- Review and improve supply chain workflows to reduce delays, errors, and operational costs.
- Develop and implement KPIs to measure team performance and operational efficiency.
- Identify bottlenecks and recommend corrective actions.
- Ensure compliance with internal controls, company policies, and relevant regulatory requirements.
- Promote accountability, accuracy, and continuous improvement within the Supply Chain team.
- Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, Industrial Engineering, Operations Management, or any related course.
- With at least 5 years of experience in supply chain, logistics, warehouse, inventory, procurement, or order fulfillment operations.
- With at least 2 years of supervisory or managerial experience.
- Experience in healthcare, medical devices, diagnostics, pharmaceuticals, distribution, or similar regulated industries is an advantage.
- Strong knowledge of inventory management, warehouse operations, order fulfillment, documentation, and supply chain controls.
- Familiarity with ERP, inventory management systems, or order processing systems.
- Strong analytical, planning, reporting, and problem-solving skills.
- Excellent leadership, communication, coordination, and decision-making skills.
- Highly organized, detail-oriented, and capable of managing multiple priorities.
