Human Resources and Operations Assistant – VASP & EMI – On Site ONLY

We are looking for a highly organized and reliable Human Resources and Operations Assistant to support the day-to-day HR and administrative functions of WIBS PHP INC., a licensed EMI and VASP entity. The successful candidate will assist in the execution of employee lifecycle processes, ensure accurate and timely documentation, and contribute to smooth operational workflows.
This is a critical role supporting both regulatory compliance and internal workforce coordination in a highly regulated fintech environment.
Key Responsibilities- Employee Onboarding & Offboarding Support
- Assist in preparing employment contracts, NDAs, and pre-employment documentation.
- Schedule and conduct onboarding sessions, collecting IDs, credentials, and requirements.
- Ensure proper offboarding procedures, clearance routing, and exit interviews.
- Timekeeping, Leave Management & Attendance
- Monitor daily attendance and validate timesheets with supporting documents.
- Update and file leave records, offset requests, and attendance logs.
- Coordinate closely with department heads on leave schedules and approvals.
- Payroll & Benefits Coordination
- Assist in compiling payroll inputs including absences, overtime, and deductions.
- Liaise with third-party payroll providers and coordinate with Finance for accurate payroll release.
- Facilitate government remittance documentation and benefit applications (SSS, PhilHealth, Pag-IBIG).
- Recruitment & Administrative Support
- Post job ads, schedule interviews, and coordinate with candidates.
- Maintain applicant tracking and HR databases.
- Organize HR files and support compliance-related HR documentation.
- Office Operations & Internal Support
- Assist in the daily operations of the office (e.g., supplies inventory, visitor logs, IT coordination).
- Help coordinate internal meetings, onboarding orientations, and company-wide notices.
- Maintain organized records aligned with audit and compliance needs.
- Compliance & Record Keeping
- Support HR audit preparation and ensure documents meet internal and external compliance requirements.
- Maintain up-to-date employee 201 files and HR policies in both physical and digital formats.
- Support the reporting of staff movements and updates for SEC, DOLE, and other regulators if needed.
Minimum Qualifications:
(On-Site ONLY, NO remote)- Bachelor’s degree in Human Resources Management, Psychology, Business Administration, or a related field.
- At least 2 years of professional experience in human resources, office administration, or operations support—preferably within fintech, VASP, EMI, or financial services.
- Familiarity with labor laws and employment regulations in the Philippines.
- Proficient in MS Office (Word, Excel, PowerPoint) and HRIS or HR software platforms.
- Strong interpersonal and organizational skills with attention to detail and discretion in handling confidential matters.
- Willingness to work in a fast-paced and compliance-heavy environment.
Preferred:
- Background in recruitment, payroll administration, or government filing compliance (e.g., SSS, PhilHealth, Pag-IBIG, BIR).
- Exposure to internal audit coordination or business continuity support.
- Experience in handling company events, employee engagement programs, or internal communications.
