Job Summary

The Business Operations Manager is responsible for overseeing daily operations, ensuring efficient service delivery, accuracy of transactions, and compliance with regulatory and internal standards. The role manages end-to-end operational workflows, enforces strong internal controls, and drives consistent performance across teams handling documentation, processing, and client servicing functions.

This position functions similarly to an operations control lead, ensuring high-quality execution in a fast-paced, detail-critical environment.

Key Responsibilities

Operations Management & Service Delivery
  • Oversee end-to-end operational workflows including documentation processing, application handling, and client servicing
  • Ensure all transactions are accurate, complete, and delivered within agreed service level agreements (SLAs)
  • Monitor daily operations, pipeline status, and turnaround times to maintain efficiency and output quality
  • Implement and enforce standard operating procedures (SOPs), checklists, and quality assurance controls
Compliance, Risk & Internal Controls
  • Ensure adherence to regulatory requirements, company policies, and client-specific standards
  • Establish and maintain strong internal control frameworks (verification processes, approvals, audit trails, segregation of duties)
  • Review and validate critical documents to ensure accuracy, completeness, and authenticity
  • Identify risks, inefficiencies, and errors, and implement corrective and preventive measures
Team Leadership & Performance Management
  • Lead and manage a team of operations staff and coordinators
  • Set, monitor, and drive KPIs including productivity, turnaround time, and accuracy rates
  • Conduct coaching, training, and performance evaluations
  • Build a culture of accountability, precision, and customer-focused service delivery
Client & Stakeholder Management
  • Serve as the escalation point for clients and external stakeholders
  • Ensure consistent service delivery aligned with client expectations and timelines
  • Coordinate with government agencies and internal departments to ensure smooth processing
Process Improvement & Efficiency
  • Analyze workflows and implement process improvements, standardization, and automation initiatives
  • Drive continuous improvement to enhance efficiency and reduce errors
  • Support operational scalability and onboarding of new clients or services
Financial & Administrative Oversight
  • Monitor operational costs and support billing and collections coordination
  • Ensure proper documentation, tracking, and record-keeping of all transactions
  • Prepare and analyze reports on volume, turnaround time, accuracy, and compliance
Qualifications
  • Bachelor’s Degree in Business Administration, Management, or related field
  • Master’s Degree in Business Administration (MBA) is an advantage
  • Minimum 5–8 years of experience in operations or process-driven environments
  • At least 2–3 years in a managerial role with team leadership responsibilities
  • Strong background in process management, compliance, and workflow optimization
  • Experience in high-volume, detail-oriented operations (banking/shared services preferred)
Preferred Qualifications
  • Experience in documentation-heavy or regulated environments
  • Familiarity with government-related transactions or compliance processes
  • Background in audit, QA, or internal controls
  • Philippine Visa processing an advantage

Work Schedule: Monday to Saturday, 8AM to 5PM
