Job Description:
We are looking for an Operations Business Analyst to serve as the analytical and process-improvement partner to operations leadership across every department in the company. This is a horizontal role: you will not be assigned to one department.You will rotate across all of them — building KPIs where none exist, documenting Standard Operating Procedures from scratch, and improving how the company runs end-to-end. This is a backend role for someone who finds satisfaction in systems, data, documentation, and structured problem-solving.
Key Responsibilities:
- Cross-Departmental Problem Solving: Work with department managers and frontline reps across every operational function. Investigate workflow breakdowns end-to-end, build process maps to visualize how work flows today, conduct root-cause analyses, and propose practical solutions. Move fluidly between departments. When solutions require new tools or vendors, run structured evaluations: document requirements, manage demos, build comparison matrices, and present recommendations.
- KPI Design & Dashboard Development: Design KPIs and measurement frameworks from scratch for departments that don't yet have them — defining what “good” looks like for each function (e.g., technician efficiency, service dispatch turnaround, scheduling utilization, response times). Build dashboards to bring those metrics to life for managers and leadership.
- SOP Authoring: Write structured Standard Operating Procedures that frontline reps can follow without constant clarification — clear steps, decision trees, screenshots, and edge cases. Pair SOPs with short recorded video walkthroughs where helpful. Maintain version control, file permissions, and the central knowledge base.
- Rollout, Adoption & Ongoing Compliance: Lead rollout of new processes — communicate changes clearly to affected teams, run training where needed, and address resistance. After rollout, monitor whether processes are being followed: conduct random audits, maintain error and deviation trackers, build compliance checklists and controls, and follow up with managers professionally when adherence drops.
- Apps Script & Google Workspace Stack: Build, maintain, and extend Google Apps Script automations across Forms, Sheets, Docs, Gmail, and Drive. Maintain the operational Workspace stack with discipline that scales as the team grows.
- Reporting & Pipeline Management: Deliver weekly and monthly reports to leadership with trend analysis, flagged risks, and recommended interventions. Maintain a clear pipeline of active improvement initiatives. Prepare pre-reads, decision memos, and action trackers for leadership meetings.
Qualifications and requirements:
- Familiarity with or certification in a structured process improvement methodology (Lean, Six Sigma, or similar).
- AI / LLM tool fluency. Comfortable using AI tools (Claude, ChatGPT, Copilot, or similar) to accelerate analytical work. Knows when AI is a force multiplier and when outputs need manual verification.
- Experience producing short, screen-recorded training videos to pair with written SOPs.
- Exposure to multiple operational domains rather than deep specialization in one.
- Field service, trades, or service-business industry exposure.
- HVAC and Appliance industry experience.
- QuickBooks familiarity.
Non-negotiable skills and requirements:
- A proactive Operations Business Analyst with 5+ years of experience in operations, business analysis, process improvement, or quality roles. The right person is a horizontal thinker who is analytical by default, comfortable in ambiguity, disciplined about documentation, and thinks in systems rather than one-off fixes. They have a bias toward measurement, work independently while collaborating well with others, and proactively communicate progress and blockers.
Key Requirements:
- Analytical & Multi-Domain Problem-Solving: Able to ramp quickly into unfamiliar operational areas and apply strong root-cause analysis to whatever you find there. Translates ambiguous problems into structured, solvable scopes. Curiosity about how different functions work matters more than prior deep expertise
- KPI Design from Scratch: Proven experience designing measurement frameworks for processes that don't yet have them. Can sit with a department manager who has never been measured before, understand what their team does, and propose 3–5 metrics that genuinely capture performance.
- SOP Authoring & Process Mapping: Demonstrated experience writing Standard Operating Procedures from scratch and building clear process maps that visualize workflow. Writing samples and a sample process map will be requested during screening.
- Change Management, Adoption & Compliance: Experience driving adoption of new processes and maintaining ongoing compliance after rollout. This includes communicating changes, training teams, addressing resistance, conducting random audits, building compliance checklists and controls, maintaining deviation trackers, and following up professionally when adherence drops.
- Google Apps Script: Proficiency reading existing code, modifying it confidently, and writing new automations from scratch. This is a hard requirement.
- Advanced Google Workspace: Sheets: pivot tables, complex formulas, conditional formatting, data validation, protected ranges, and dashboard design. Forms and Docs: strong skills including conditional logic and structured templating.
- Communication, Collaboration & Work Style: Written and verbal English. Comfortable participating in meetings with department managers, frontline reps, and multiple senior leaders who may have different priorities — able to navigate conflicting input professionally, surface trade-offs, and ask clarifying questions. Strong at writing executive-ready documentation. A balance of autonomy and collaboration with strong attention to detail and accountability tracking.
