OPERATIONS ASSISTANT

We are seeking a highly organized and detail-oriented Operations Assistant to support daily business operations. This role will work closely with the Operations Manager and assist with logistics coordination, inventory and shipping processes, compliance tracking, administrative support, and eCommerce operations.

The ideal candidate has experience with NetSuite, Shopify, international shipping, and operational processes, and is comfortable managing multiple priorities in a fast-paced environment.

Key Responsibilities:

Operations & Logistics
  • Coordinate domestic and international shipments, ensuring timely and accurate delivery.
  • Manage shipping and receiving processes, including shipment tracking and documentation.
  • Communicate with carriers, vendors, and fulfillment partners regarding logistics-related matters.
  • Assist with inventory monitoring and operational reporting.
Systems & eCommerce Support
  • Utilize NetSuite for order management, inventory tracking, reporting, and operational tasks.
  • Manage and update information within Shopify as needed.
  • Assist with order processing and troubleshooting operational issues related to eCommerce activities.
Compliance & Product Management
  • Maintain product testing records and certification documentation.
  • Assist with label compliance requirements and ensure products meet applicable standards and regulations.
  • Track certification renewals, testing schedules, and compliance deadlines.
  • Coordinate with vendors and testing agencies when necessary.
Administrative Support
  • Manage emails, calendars, and scheduling for operations leadership.
  • Prepare reports, maintain records, and organize operational documentation.
  • Assist with special projects and other administrative duties as assigned.
  • Support cross-functional communication between departments and external partners.
Required Qualifications
  • Previous experience in an Operations Assistant, Operations Coordinator, Logistics Coordinator, or similar role.
  • Hands-on experience using NetSuite.
  • Experience with international shipping and logistics coordination.
  • Experience managing shipping and receiving processes.
  • Familiarity with Shopify or other eCommerce platforms.
  • Strong administrative and organizational skills.
  • Proficiency with Microsoft Office and Google Workspace applications.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
Preferred Qualifications
  • Experience with product testing and certification management.
  • Knowledge of product labeling requirements and compliance processes.
  • Experience working with manufacturers, suppliers, or fulfillment partners.
  • Background supporting eCommerce or consumer product businesses.
