About the role

We are seeking a dedicated and organised Administrative Assistant to join our team in Mandaue City, Cebu. This is a full-time position that plays a vital role in ensuring the smooth operation of our office. As an Administrative Assistant, you will be the backbone of our administrative operations, providing essential support to management and staff members across various departments.

Your contributions will directly impact the efficiency and productivity of our organisation, helping us maintain high standards of organisation and professionalism in all administrative functions.

Key responsibilities
  • Managing and maintaining office filing systems, both physical and digital, ensuring documents are properly organised and easily accessible
  • Scheduling meetings, managing calendars and coordinating appointments for board and staff members
  • Answering telephones, greeting visitors and directing them to appropriate personnel
  • Preparing and distributing correspondence, reports and other administrative documents
  • Processing and maintaining expense reports, invoices and other financial documentation
  • Ordering and managing office supplies, equipment and inventory levels
  • Assisting with data entry, maintaining databases and updating records as required such stock inventories
  • Providing general administrative support to multiple personnel
  • Organising and coordinating office events, meetings and conferences
  • Assisting with human resources administrative tasks such as onboarding documentation and record keeping
  • Performing other administrative duties and special projects as assigned by management
What we're looking for
  • High school diploma or equivalent qualification; additional qualifications in administration or office management are advantageous
  • Proven experience working as an Administrative Assistant or in a similar administrative support role
  • Minimum of 6 months to 1 year of experience as an Administrative Assistant or in a similar administrative support role is required
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and other office management software
  • Intermediate level proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and other office management software is essential
  • Excellent organisational and time management skills with the ability to prioritise multiple tasks effectively
  • Strong communication skills, both written and verbal, with professional telephone etiquette
  • Attention to detail and accuracy in completing administrative tasks and documentation
  • Professional and courteous demeanour with strong interpersonal skills
  • Ability to work independently and as part of a team in a fast-paced office environment
  • Reliability and punctuality with a positive and proactive approach to work
  • Knowledge of office procedures and protocols
  • Basic bookkeeping or accounting knowledge is considered a plus
