Virtual Executive Assistant (Full-Time)

I’m looking for a highly intelligent, detail-oriented, and reliable Virtual Executive Assistant to help manage and reply to my emails as if you were me. I run multiple businesses across Australia and need someone who can handle communication, solve problems, and think proactively.
You’ll be my right hand—handling my inbox, calendar coordination, admin tasks, and making decisions when I can’t be across everything.
What You’ll Be Doing:
- Manage and reply to business emails in a professional tone (you’ll be trained to write like me).
- Prioritise urgent vs non-urgent communication and escalate only when needed.
- Draft and send follow-ups to clients, suppliers, and partners.
- Reconcile email attachments and organize them into the correct folders on Google Drive.
- Manage and maintain the company’s Google Drive file structure.
- Prepare email summaries or recaps of important conversations.
- Assist with document formatting, basic research, and scheduling when required.
You Must Have:
- Perfect written English. You should write better than I do.
- Strong emotional intelligence – you can read between the lines and respond appropriately.
- Experience managing someone else’s inbox or as an executive assistant.
- Tech-savviness (Gmail, Google Docs, Google Drive — especially folder management).
- Proactive mindset: I want someone who gets things done without being told twice.
- High attention to detail – I don’t want to repeat myself.
Bonus If You Have:
- A background in copywriting, journalism, or communications.
- Experience in the construction, fitout, or trades industry.
- A sense of humour. If you can match my tone, you’re gold.
