Overview:
As a key member of the HR Systems & Process team, the Specialist, HRIS plays a critical role in ensuring the accuracy, integrity, and efficiency of HR data and processes. This role goes beyond transactional support to include oversight of the HRIS work queue, data auditing, stakeholder collaboration on organizational changes, and continuous process improvement.The Specialist will act as a subject matter expert and first point of contact for HRIS-related inquiries, supporting both day-to-day operations and strategic initiatives.
Key Responsibilities:
Work Queue Management & Prioritization- Own the HRIS work queue: assess volume, complexity, and urgency of incoming requests.
- Gather necessary information from stakeholders to ensure timely and accurate task completion.
- Track tasks across the HRIS team, ensuring alignment with payroll and reporting deadlines.
- Process complex employee lifecycle transactions in SAP SuccessFactors, including hires, transfers, promotions, compensation changes, and terminations.
- Ensure all transactions are completed accurately and in a timely manner, in alignment with payroll and reporting deadlines.
- Maintain employee files with relevant documentation of changes and approvals.
- Serve as the primary HRIS contact for organizational changes (e.g., org restructuring, reporting changes).
- Coordinate and manage the onboarding process for new hires and contingent workers in SuccessFactors.
- Set up new employee profiles, monitor onboarding progress, and review documentation for accuracy.
- Collaborate with Talent Acquisition, HR, and new hires to ensure all onboarding tasks are completed prior to the employee’s start date.
- Conduct regular audits of HRIS data using reports and Excel functions (e.g., VLOOKUP, PivotTables).
- Identify and correct data issues proactively, ensuring compliance with payroll and month-end cutoffs.
- Maintain high standards of data quality and consistency across all HRIS entries.
- Ensure employee files are complete and up to date with required documentation.
- Coordinate responses to HRIS-related questions from the business, escalating when needed.
- Maintain internal documentation for HRIS processes to support knowledge sharing and consistency.
- Escalate complex or technical issues to the HRIS Supervisor as appropriate.
- Monitor HRIS data for recurring errors and implement corrective actions.
- Recommend and support improvements to reduce error rates and enhance efficiency.
- Contribute to the development and refinement of HRIS standard operating procedures (SOPs).
- Identify and share process improvement opportunities with the HR Systems team.
- Participate in user acceptance testing (UAT) and system upgrades impacting HRIS operations.
- Support audit-related tasks by compiling HRIS data and documentation.
Requirements
What You’ll Bring to the Table:
- Bachelor’s degree or college certificate in Human Resources, Information Systems, or related field.
- 3–5 years of experience in HRIS or HR operations, preferably in a medium to large organization.
- Strong working knowledge of SAP SuccessFactors or similar HRIS platforms.
- Proficient in Excel with intermediate skills (e.g., VLOOKUP, IF, PivotTables).
- Highly organized and able to manage priorities in a time-sensitive environment.
- Strong analytical, problem-solving, and critical thinking abilities.
- Excellent communication and interpersonal skills; able to engage stakeholders at all levels.
- High attention to detail and a strong commitment to data accuracy.
- Ability to handle confidential information with discretion and professionalism.
