Job Description

As a Team Admin/Assistant , you will provide administrative and operational support to the Audit Division to ensure that proposals and other client deliverables are met. Strong attention to detail and the ability to work with competing, urgent deadlines are necessary to create professional presentations and documentation that meet the client's standards.

Shift: Day Shift, Weekends Off

Work Setup: 1 month onsite at SM Mega Tower, then Hybrid - 3 days onsite and 2 days WFH

The Qualifications We Seek
  • Completion of Year 12 and a Certificate in Business Administration
  • 1-2 years of experience as an Administrative Assistant supporting a team, department, or division
  • Previous experience in a multinational company (MNC) is required
  • Strong written and verbal communication skills
  • Excellent attention to detail and accuracy
  • Proven ability to work independently and as part of a collaborative team
  • Intermediate proficiency in Microsoft Office, particularly PowerPoint and Word

Your Daily Tasks

General Administration
  • Formatting client-related correspondence and reports in line with national standards
  • Entering data and managing client records
  • Maintaining CRM systems for clients and contacts
  • Maintaining and organizing client files
  • Ensuring the team follows RSM's internal processes, policies, and procedures
  • Generating weekly and monthly reports
  • Collating information for tenders and proposals, managing the process, and ensuring timely submission
  • Providing ad hoc administrative support
  • Organizing occasional travel arrangements
  • Completing timesheets for Partners
  • Supporting client events and training conferences on an ad hoc basis
  • Processing expense claims
Inbox and Calendar Management
  • Coordinating meetings and managing calendars for three leaders
  • Maintaining correspondence on behalf of Partners
  • Documenting and tracking deadlines
Monthly Invoicing
  • Preparing invoices for Managers, prior to Partner approval
  • Entering data accurately and on time
  • Finalizing invoices and issuing them to clients (acting as Accounts Receivable)
  • Following up on outstanding payments from clients

Education Requirements

Preferred:

  • Completion of a Business College administration course
