Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

With a strong footprint across Australia’s eastern states, this long-established commercial services provider is known for delivering high-quality building maintenance and refurbishment solutions. Their clients range from major corporations to government agencies, and their projects span everything from reactive maintenance and insurance repairs to large-scale facility upgrades.
Role Overview:
The Bid and Tender Coordinator is responsible for managing and coordinating the end-to-end bid and tender process to secure new business opportunities. This role requires strong organisational skills, excellent attention to detail, and the ability to collaborate effectively with technical, sales, and operational teams to develop high-quality, compelling, and compliant submissions.
Key Responsibilities:
- Coordinate the preparation and submission of EOIs, RFIs, RFTs, and proposals across multiple sectors
- Work closely with business development, technical, and leadership teams to gather input and content for submissions
- Develop, edit, and proofread tender responses to ensure clarity, consistency, and alignment with client requirements
- Maintain a library of templates, CVs, project case studies, and standard response content
- Ensure all deadlines are met by managing the tender schedule, allocating tasks, and following up with contributors
- Conduct post-submission reviews and maintain records of outcomes for continuous improvement
- Monitor tender portals and alert the relevant team members about new opportunities
- Ensure compliance with all internal governance and client requirements throughout the tender process
- Assist with document formatting, presentation materials, and internal reporting as required
Required Skills and Qualifications:
- 2+ years’ experience in a similar bids/proposals/tenders coordination role, preferably within professional or engineering services
- Excellent writing, editing, and communication skills
- High attention to detail and ability to meet tight deadlines
- Strong organisational and project management skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Adobe Acrobat, and tender portals
- Ability to work independently as well as collaboratively in a fast-paced environment
- Familiarity with CRM tools (e.g., Monday.com, Salesforce, or Total Synergy) is
- advantageous.

This is a remote role that will be set up as an independent contractor engagement.
