Job Summary

The Proposal Coordinator plays a vital role within the Pre-Contracts team, focusing primarily on managing specific bids and tenders. This includes coordinating external tender documentation and communications (including the final RFP response, the client document transmittal system, and contributing to internal proposal focused communications.

The role involves collaboration with Bid team leadership and SMEs to coordinate written content for essential documents, such as: formal responses to Expressions of Interest (EOI), interim and final responses to Requests for Tender (RFT), Post-tender information submissions.

Key Responsibilities
  • Manage coordination of EOI and tender documentation processes, ensuring accuracy, compliance, and alignment with client/project objectives.
  • Develop post-tender presentations, capability statements, brochures, and marketing materials, leveraging tools like Seismic.
  • Build and maintain strong internal/external relationships to facilitate bid submissions across multidisciplinary teams
  • Capability to organize submission schedules, develop messaging, and coordinate with design efforts for submissions.
Core Competencies
  • Education in English, Communications, Journalism, or related fields with 2-3 years of relevant experience.
  • Adept in collaboration tools like SharePoint, Teams, and project management tools for communication and document control.
  • Advanced computer skills across key software (Word, Excel, PowerPoint, SharePoint, Adobe Acrobat, etc.) and technical troubleshooting ability with templates and ribbons.
  • Knowledge of construction standards/regulations (local and international), RFP documentation analysis, and bid processes.
