HR Assistant - Payroll (Last Pay & Helpdesk)

We are looking for a dedicated HR Assistant for Payroll who will be responsible for the accurate and timely processing of last pay for resigned employees. The role supports a fast-paced payroll team, ensuring compliance with labor laws and company policies, maintaining detailed records, and responding to employee inquiries during the transition process.

This role manages final pay processing for over 300 employees annually and addresses an average of 12 concerns per day.

Qualifications:

  • Education: Bachelor’s degree in Human Resources, Business Administration, Accounting, or related field.
  • Experience: At least six (6) months of payroll experience, preferably handling final pay and clearance processes.
  • Skills & Competencies:
  • Timekeeping and payroll system proficiency (HRIS experience preferred)
  • Detail-oriented with strong documentation and organizational skills
  • Knowledge of labor law compliance related to employee separation
  • Proficient in Microsoft Office (Excel, Word, etc.)
  • Strong interpersonal and communication skills

Duties and Responsibilities:

  • Final Pay Processing: Ensure complete and timely last pay computation including clearance, attendance, and required documentation.
  • Compliance & Reporting: Prepare reports and audit documentation, ensuring adherence to labor laws and internal policies.
  • Employee Support: Act as the helpdesk for inquiries about last pay, clearance, and resignation procedures.
  • Cross-Department Coordination: Route clearance documents and coordinate with Accounting, Treasury, and department heads.
  • Process Improvement: Participate in regular review of payroll-related procedures and suggest improvements.
