Job Title: Executive Assistant to the Operations Manager

Location: Remote (Work from Home)

About Us: Noonan Real Estate Agency is a dynamic and innovative company dedicated to excellence in real estate services. We are seeking a highly organised and proactive Executive Assistant to support our Operations Manager in ensuring smooth and efficient operations.

Key Responsibilities:

  • Manage and complete assignments and emails forwarded by the Operations Manager.
  • Save and organise documents, ensuring easy access and retrieval.
  • Collect and analyse data, including KPIs, new business, and sales appraisals.
  • Report and possibly assist in handling complaints
  • Manage receipts for internet and health insurance from the Philippines (PH) team.
  • Utilise Time Doctor for record-keeping of hours worked by the PH team..
  • Accurately log all leaves and assist in PH pay as needed.
  • Approve leave requests and maintain leave records.
  • Assist the Operations Manager with research for company improvement initiatives.
  • Manage the Operations Manager's calendar/diary, scheduling appointments and meetings.
  • Act as the Operations Manager's eyes and ears with the team, providing updates and feedback.
  • Keep track of projects and ensure deadlines are met.
  • Help the Operations Manager stay organised and ensure nothing is forgotten.
  • Assist with follow-ups with stakeholders to ensure tasks and projects are on track.
  • Write and distribute minutes of meetings promptly and accurately.

Training and Onboarding:

  • Assist in organising and coordinating training sessions for the team in Sydney and PH, ensuring they occur at least once every two weeks.
  • Conduct knowledge tests and manage onboarding processes.
  • Maintain and update training materials, including The Noonan Way, The Handbook, and The Directory.

Administrative Support:

  • Keep the Operations Manager organised and ensure nothing is forgotten.
  • Clean up and organise emails regularly.
  • Manage the Noonan Real Estate Agency Google Account, including uploading photos and videos, checking Google reviews, and approving posts.
  • Ensure all voicemail messages are actioned promptly.

Qualifications:

  • Proven experience as an executive assistant or in a similar role.
  • Excellent organisational and time-management skills.
  • Strong communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite and Outlook.
  • Ability to handle sensitive information with discretion.
  • Detail-oriented and able to multitask effectively.
  • Honest, trustworthy, and a team player.

Compensation:

  • This is a freelancer, work-from-home position with a "no work, no pay" policy.
  • Additional allowances: $2500 per month for health insurance and $2500 per month for internet (minimum 100 Mbps).
