We're Hiring: Executive Secretary to the CEO (Stainless Steel Company)
We are an established enterprise based in Novaliches, Quezon City, with almost 30 years of operation. We are a 100% Filipino-owned business, fabricating and manufacturing all kinds of stainless steel products in different parts of the country and abroad.
We are looking for an experienced, highly organized, and trustworthy Executive Secretary to provide direct administrative and executive support to the Chief Executive Officer (CEO). The successful candidate will manage the CEO's daily schedule, coordinate meetings and communications, prepare reports and correspondence, and handle confidential corporate information with the highest level of professionalism.
Key Responsibilities:
- Manage the CEO's calendar, appointments, meetings, and travel arrangements.
- Screen calls, emails, and correspondence, ensuring timely and appropriate responses.
- Prepare, proofread, and organize documents.
- Take minutes during executive meetings and monitor action items.
- Coordinate with department heads, clients, suppliers, government agencies, and business partners on behalf of the CEO.
- Organize and maintain confidential corporate records and executive files.
- Prepare meeting agendas and ensure all required documents are available.
- Track deadlines, follow up on executive directives, and monitor assigned projects.
- Assist in planning company events, executive meetings, and business engagements.
- Handle sensitive and confidential information with integrity and discretion.
- Perform other executive and administrative duties as assigned by the CEO.
Qualifications:
- Bachelor's degree in Business Administration, Office Administration, Management, or a related field.
- At least 2-3 years of experience as an Executive Secretary, or in a similar role supporting senior executives.
- Excellent verbal and written communication skills in English and Filipino.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
- Exceptional organizational, planning, and multitasking abilities.
- Strong attention to detail and excellent time management skills.
- Ability to work under pressure, meet deadlines, and prioritize multiple responsibilities.
- High level of professionalism, integrity, and confidentiality.
- Strong interpersonal skills with the ability to interact confidently with executives, clients, and stakeholders.
Preferred Qualifications:
- Experience supporting a CEO, President, or senior executive.
- Experience in a corporate or manufacturing environment is an advantage.
- Knowledge of corporate documentation, board meetings, and business correspondence is preferred.
- Willing to work in Novaliches, Quezon City.
- Willing to work from Monday to Saturday, 8:00am to 5:00pm.
