I. JOB PURPOSE
The Sales Coordinator provides comprehensive support to Account Managers and Sales Operations by processing quotations, handling documentation, liaising with internal departments, and ensuring smooth customer transactions from inquiry to order fulfillment.The role ensures customer satisfaction by delivering accurate, timely, and well-coordinated services.
II. CORE RESPONSIBILITIESA. Sales and Customer Support
- Receive and process quotation requests from customers via phone, email, or walk-in.
- Ensure accurate and timely issuance of quotations.
- Support Account Managers in daily sales activities and follow-ups.
- Coordinate with customers regarding their inquiries, requirements, and feedback.
- Attend to walk-in clients and provide appropriate sales support.
- Assist in addressing and coordinating responses to customer complaints as escalated by Account Managers.
- Attend pre-bid meetings and client presentations when required.
- Act as liaison between customer and internal departments (IDG, Operations, Accounting, Admin/HR) to ensure smooth project execution.
- Monitor and ensure completeness of Purchase Orders (P.O.s) received from customers.
- Handle In-House Account coordination, including Anchor Clients and Subsidiaries.
- Support the business plan by working beyond standard hours when necessary to meet business objectives.
- Prepare and organize bidding documents as required by clients or Account Managers.
- Facilitate client accreditation processes, ensuring submission of complete and updated company documents.
- Maintain and update records of all customer-related requirements, certificates, and expiration schedules.
- Draft and issue official business correspondence related to client accreditation, legal, and certification matters.
- Prepare and issue Warranty Certificates to clients upon request.
- Coordinate with different departments to obtain technical drawings, certifications, production timelines, and other documentation required for client compliance or inquiries.
- Track status of quotations, orders, deliveries, and payments with internal stakeholders.
- Provide administrative assistance to the Sales & Marketing Manager and Sales Support Manager.
- Perform other related duties as assigned to support the overall goals of the Sales and Marketing Department.
- Education: Bachelor’s degree in Business Administration, Marketing, or related course
- Experience:
o Background in system furniture or modular cabinet industry is preferred
o Familiarity with sales documentation and bidding processes- Skills:
o Excellent verbal and written communication skills
o Strong coordination and planning skills
o Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
o Ability to multitask and meet deadlines
o Strong interpersonal and customer service skills
o Able to work independently and take initiative
