As the Marketing & Administrative Assistant, you will play a key role in supporting the day-to-day operations of the practice. You’ll assist with marketing efforts, ensure client engagement, and help maintain seamless administrative workflows.

Responsibilities

Client Communication & Admin Support
  • Answer and return phone calls, emails, and text inquiries
  • Reschedule appointments and track client retention
  • Serve as a welcoming and professional first point of contact for leads and clients
Marketing & Social Media
  • Assist with creating and scheduling Instagram posts
  • Monitor and respond to comments and reviews
  • Support coordination of events and community workshops
  • Create simple visual content using Canva
  • Assist with implementing SEO strategies
Lead & CRM Management
  • Follow up with leads and re-engage previous clients
  • Use Hubspot CRM to manage and track client activity
  • Help keep schedules full through proactive communication
Team Collaboration
  • Attend virtual team meetings and provide thoughtful input
  • Support website updates and app-related tasks
  • Assist with general admin tasks and document management

Requirements
  • Experience in marketing, administrative assistance, or virtual assistant roles (healthcare experience is a plus)
  • Strong written and verbal communication skills
  • Organized, detail-oriented, and tech-savvy
  • Reliable, proactive, and self-motivated
  • Comfortable working remotely during US Pacific business hours
