As the Marketing & Administrative Assistant, you will play a key role in supporting the day-to-day operations of the practice. You’ll assist with marketing efforts, ensure client engagement, and help maintain seamless administrative workflows.
Responsibilities
Client Communication & Admin Support- Answer and return phone calls, emails, and text inquiries
- Reschedule appointments and track client retention
- Serve as a welcoming and professional first point of contact for leads and clients
- Assist with creating and scheduling Instagram posts
- Monitor and respond to comments and reviews
- Support coordination of events and community workshops
- Create simple visual content using Canva
- Assist with implementing SEO strategies
- Follow up with leads and re-engage previous clients
- Use Hubspot CRM to manage and track client activity
- Help keep schedules full through proactive communication
- Attend virtual team meetings and provide thoughtful input
- Support website updates and app-related tasks
- Assist with general admin tasks and document management

- Canva
- Experience in marketing, administrative assistance, or virtual assistant roles (healthcare experience is a plus)
- Strong written and verbal communication skills
- Organized, detail-oriented, and tech-savvy
- Reliable, proactive, and self-motivated
- Comfortable working remotely during US Pacific business hours
