Job Summary:
The Procurement Specialist is responsible for managing the acquisition of goods and services for the company. This role ensures that all procurement activities are carried out efficiently, cost-effectively, and in compliance with company policies and legal requirements.The Procurement Officer will be involved in sourcing suppliers, negotiating contracts, processing purchase orders, managing vendor relationships, and overseeing inventory levels.
Main Duties & Responsibilities:
- Procurement Management:
- Source, evaluate, and select suppliers to meet the company’s needs for goods and services.
- Negotiate contracts, terms, and prices with suppliers to ensure the best value.
- Prepare and issue purchase orders (POs) and ensure accurate documentation of all procurement activities.
- Ensure timely delivery of goods and services as per the agreed terms and conditions.
- Supplier Management:
- Build and maintain strong working relationships with key suppliers.
- Monitor supplier performance, ensuring adherence to quality standards, delivery timelines, and pricing agreements.
- Address and resolve any issues related to supplier performance, including delays, quality concerns, or discrepancies.
- Inventory and Stock Management:
- Monitor and manage inventory levels to ensure adequate supply without overstocking.
- Work with relevant departments to forecast procurement requirements based on production schedules and business needs.
- Conduct periodic inventory checks to ensure proper stock levels and avoid supply chain disruptions.
- Financial Control and Cost Management:
- Ensure all procurement transactions are within budget and align with financial targets.
- Identify cost-saving opportunities without compromising quality.
- Maintain accurate records of procurement expenses and transactions for financial reporting.
- Reporting and Documentation:
- Maintain detailed and organized records of all procurement activities, including contracts, purchase orders, and invoices.
- Prepare reports for management, highlighting procurement performance, cost savings, supplier issues, and other key metrics.
- Ensure compliance with legal and regulatory procurement requirements and company policies.
- Collaboration:
- Work closely with internal departments (Finance, Logistics, Production, etc.) to ensure alignment and smooth procurement processes.
- Coordinate with the Finance team to ensure timely processing of supplier payments and resolve any payment-related issues.
- Assist in the preparation of procurement plans and forecasts based on business needs.
- Other Responsibilities:
- Participate in audits, supplier evaluations, and compliance checks as needed.
- Assist with ad-hoc procurement-related tasks and projects as assigned.
Job Qualifications:
- Education: Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, Technical Buying or a related field.
- Experience: Minimum of 2-3 years of experience in procurement, supply chain, or a related field.
- Skills:
- Strong negotiation, communication, and interpersonal skills.
- Proficient in procurement software, MS Office, and other relevant tools.
- Knowledge of procurement processes, vendor management, and cost control.
- Strong organizational and multitasking abilities.
- Ability to handle pressure and meet deadlines.
- Certifications (Preferred):
- Certifications in procurement (e.g., CIPS, CPSM) would be an advantage.
