Tallant Asia is looking for a Virtual Assistant for a company based in Korea.
Role Summary:
The Executive Assistant to the CEO provides comprehensive administrative and project support, ensuring the smooth operation of the CEO's daily tasks and larger business initiatives. This role excludes core marketing duties, though light support on marketing research data entry may be required when possible.Key responsibilities include managing the CEO’s daily communications, coordinating travel, supporting project management, and handling documentation for customer and project data.
Key Responsibilities:
- Executive Support:
- Email & Task Management: Collect, organize, and summarize incoming emails and tasks for the CEO, ensuring clear priorities and timely responses.
- Communication: Draft and send emails on behalf of the CEO and manage routine correspondence.
- Travel Coordination: Arrange and coordinate all team travel, including booking flights, hotels, and managing itineraries. Ensure that all invoices and travel expenses are documented and downloaded for record-keeping.
- Meeting Support: Organize meetings, prepare materials, and coordinate with participants as required.
- Project Management & Organization:
- Customer & Project Tracking: Maintain organized lists of customer contacts and projects using Excel or Notion to support strategic business relationships and project oversight.
- Quotation Preparation: Draft and format quotation templates in Word and Excel, customizing them to reflect customer and project specifications after understanding requirements.
- Documentation & Presentations: Develop PowerPoint presentations for internal and client-facing purposes, maintaining a high standard of quality and alignment with company branding.
- Light Marketing Support (as needed):
- Data Entry & Research Support: Assist in entering data for market research and compiling reference lists. Track industry trends and maintain organized records of relevant research.
- Document Preparation for Marketing: Provide support on presentation and document preparation for outsourced marketing projects, including data input and formatting as needed.
Important Qualifications:
- Excel Proficiency: Advanced ability to manage, track, and analyze data in Excel.
- PowerPoint Skills: Ability to create visually engaging presentations, with attention to detail in formatting and design.
- Quotation & Proposal Writing: Experience drafting commercial quotes and client proposals in Word and Excel.
- Financial Understanding (P&L Analysis): Basic knowledge of profit & loss analysis to support strategic planning and quotations.
Skills & Competencies:
- Education: Bachelor’s degree preferred.
- Experience: 3+ years in a high-level administrative or executive assistant role.
- Language: Proficiency in English (written and spoken).
- Tech Proficiency: Familiar with Microsoft Office Suite (Excel, PowerPoint, Word), as well as organizational tools like Notion or similar.
