Position Summary

We are looking for a senior leader to head our Office Operations team in Manila. Internally, this role is titled Senior Manager, Office Operations and is a department head position, sitting as part of the local leadership team.

This role will lead the delivery of all workplace and office services for our Manila Global Operations Center. It is focused on running a high volume shared services environment supporting global functions such as Finance, HR, Technology, Marketing and Global Operations Services.

You will work closely with global functional leaders and the Director of Philippine Operations to ensure our people have a safe, efficient and high quality workplace that enables them to perform at their best.

Key Responsibilities

Office & Workplace Operations
  • Lead day to day office operations across a high volume, multi shift shared services environment.
  • Oversee space and workplace planning, facilities management, office systems and refurbishment projects.
  • Manage relationships with the building and landlord, transport and shuttle providers, and other key vendors.
  • Support office engagement activities, CSR initiatives and internal events with local and global teams.
  • Ensure operational efficiency, compliance and alignment with global and local workplace standards.
Service Delivery, People Management & Vendor Oversight
  • Lead Facilities, Reception and Guest Services, and Office Services teams across different shifts.
  • Drive workforce planning, hiring, performance management and team development.
  • Oversee outsourced vendors and services including security, housekeeping, maintenance and pantry operations.
  • Manage office logistics, administrative support, meeting room bookings and transport coordination.
  • Support onboarding and relocation logistics in partnership with HR, Global Mobility and global functional leaders.
Financial Management
  • Manage OPEX, CAPEX budgets, vendor spend and occupancy related costs for the Manila office.
  • Track financial performance, reporting and cost optimisation initiatives.
  • Support fit outs, renovations and major workplace projects with Finance and global teams.
  • Ensure compliance with financial controls, procurement processes and approval workflows.
Security, Safety & Business Continuity
  • Maintain compliance with physical security, health and safety and regulatory requirements.
  • Oversee access controls, emergency communications, evacuation planning and drills.
  • Manage business continuity and crisis response processes related to workplace operations.
  • Coordinate with security vendors and internal stakeholders to ensure a safe and resilient office.
Environmental Sustainability
  • Ensure compliance with the firm’s sustainable operations guidelines for the Manila site.
  • Support annual reporting on greenhouse gas emissions and related standards as required.
  • Lead engagement on environmental sustainability initiatives and local building mandates.
  • Coordinate with property management and vendors on sustainability opportunities in partnership with the firm’s global sustainability team.
Qualifications
  • Bachelor’s degree in Business Administration, Engineering, Facilities Management or a related field.
  • At least 15 years of relevant experience in facilities management and office administration within a corporate or shared services environment.
  • At least 5 years in a leadership role as a Department Head, Operations Manager, Facilities Manager or equivalent, with experience as part of a leadership team.
  • Proven experience in vendor management, contract negotiation and building administration.
  • Strong global stakeholder management, negotiation and problem solving skills.
  • Solid experience in office operations, budgeting and administrative controls.
  • Experience managing OPEX and supporting CAPEX planning, budgeting and tracking.
  • Excellent verbal and written communication skills with the ability to influence and build relationships across all levels of the organisation.
Work Location & Schedule
  • Location: Bonifacio Global City, Manila
  • This is an onsite role based in our Manila office.
  • Schedule: Primarily mid shift, with flexibility to adjust working hours based on business and operational needs.
  • Onsite presence is required five days a week due to the nature of the role and responsibilities.
