Logistics Coordinator – Job Description
The Logistics Coordinator is responsible for supporting end-to-end import and export operations, ensuring timely delivery, accurate documentation, and smooth coordination with internal teams, distributors, and third-party logistics providers.This role plays a key part in maintaining visibility of shipments, resolving delivery issues, and ensuring compliance with logistics and customs processes.
Key Responsibilities
Import-Export Operations- Process and review pre-alert files by separating invoices from packing/content lists and ensuring completeness of shipment documentation.
- Generate and analyze in-transit shipment reports from ERP systems (e.g., SAP) to monitor shipment progress.
- Prepare and distribute pre-alert communications to distributors and business units, including shipment content lists and delivery note (DN) reports.
- Coordinate with freight forwarders, customs brokers, and internal stakeholders to ensure smooth import/export processes.
- Track and monitor customs clearance status to ensure timely release of shipments.
- Oversee delivery progress and proactively address delays or issues.
- Monitor Proof of Delivery (POD) via freight forwarder tracking systems and ensure proper documentation is received and recorded.
- Liaise with Customer Service and other departments to resolve delivery discrepancies, billing concerns, or documentation issues.
- Handle processing of Freight Acknowledgement Notes (FAN) using Readsoft or similar systems.
- Process import freight invoices and ensure accuracy in system entries.
- Maintain and update shipment records, ensuring all documentation is properly filed and accessible.
- Prepare and send packing lists to cross-dock (Xdock) distributors to facilitate efficient receiving and distribution.
- Support coordination of deliveries to ensure alignment with distributor schedules and requirements.
- Ensure adherence to company policies, customs regulations, and logistics procedures.
- Identify process gaps and recommend improvements to enhance efficiency and accuracy.
- Support audits and reporting requirements related to logistics operations.
- 1–2 years of experience in import/export, customs brokerage, or logistics/freight forwarding operations.
- Background in 3PL, logistics, or customs brokerage companies is preferred but not required.
- Proficiency in Microsoft Excel (data tracking, reporting, and analysis).
- Familiarity with ERP systems (e.g., SAP) or workflow/data processing tools is an advantage.
- Strong organizational skills with attention to detail and accuracy in documentation.
- Good communication skills in both written and spoken English.
- Ability to coordinate with multiple stakeholders and manage competing priorities.
- Willingness to work onsite in BGC at least 3 days per week.
