About the Role
We are seeking a highly organized and systems-driven Monday.com Specialist | Executive Assistant to support the day-to-day operations of a growing talent management agency.
This role is ideal for someone with advanced Monday.com expertise who can build, optimize, and manage operational workflows while also providing high-level Executive Assistant support to the CEO and leadership team. The successful candidate will play a key role in streamlining internal processes, supporting talent operations, and ensuring seamless executive coordination.
Key Responsibilities
Monday.com Administration & Workflow Management- Design, build, and maintain Monday.com boards, automations, dashboards, templates, and workflows
- Continuously optimize operational processes and identify opportunities for automation and efficiency
- Create and maintain onboarding workflows, approval processes, contract tracking systems, and project management structures
- Develop reporting dashboards and operational visibility tools for leadership
- Train team members on workflow updates and Monday.com best practices
- Support process documentation, SOP creation, and workflow implementation
- Assist with talent onboarding, profile management, contract tracking, and administrative coordination
- Maintain accurate records and databases across internal systems
- Coordinate scheduling, appointments, meetings, and project timelines
- Support talent-related documentation, contracts, and operational processes
- Act as a liaison between internal teams and external stakeholders when required
- Provide direct support to the CEO and senior leadership team
- Manage complex calendars, meetings, appointments, and executive schedules
- Coordinate domestic and international travel arrangements, accommodations, and itineraries
- Prepare meeting agendas, reports, presentations, and follow-up action items
- Manage correspondence, inbox support, and administrative tasks
- Handle confidential information with professionalism and discretion
Qualifications
Required- Advanced Monday.com experience with the ability to build workflows, automations, dashboards, and operational systems from scratch
- Minimum 3–5 years of experience in operations, project coordination, workflow management, or related roles
- Strong Executive Assistant or administrative support experience; within Talent or Entertainment Industry background is highly preferrable
- Experience creating SOPs, process documentation, and workflow improvements
- Excellent organizational and project management skills
- Strong written and verbal English communication skills
- Experience working with remote teams and international stakeholders
- Experience within talent management, entertainment, creative, influencer, media, or agency environments
- Experience supporting C-level executives, founders, or senior leadership
- Familiarity with CRM systems and project management tools
- Experience with onboarding systems, contract management, and process automation
- Experience supporting Australian, Singaporean, UK, or US-based teams
