Role Overview
The Front Desk / Admin Assistant is responsible for managing the day-to-day front desk operations of our Pilates studio. This role ensures a smooth client experience from check-in to check-out while supporting studio operations, bookings, and administrative tasks.
As the first point of contact for clients, the Front Desk Assistant helps maintain a welcoming, organized, and professional studio environment.
Key Responsibilities
Client Experience- Welcome and check in clients upon arrival
- Assist clients with class bookings, scheduling, and package inquiries
- Answer questions about studio services, packages, and policies
- Ensure a friendly and professional client experience at all times
- Handle client concerns and escalate issues when necessary
- Manage class bookings through the studio booking system
- Monitor waitlists and assist with class changes or cancellations
- Follow up on unpaid bookings or pencil reservations
- Ensure class schedules are accurate and updated
- Assist clients with purchasing packages or memberships
- Process payments (cash, card, or online)
- Maintain accurate transaction records
- Help promote studio packages, promos, and programs
- Ensure the front desk and studio areas remain clean and organized
- Prepare the studio before classes begin
- Coordinate with instructors regarding class attendance
- Monitor equipment setup and studio readiness
- Assist with basic administrative tasks and documentation
- Help track studio sales, attendance, and client records
- Support marketing initiatives (events, promos, etc.) when needed
- Assist with daily operational reports
- Friendly, professional, and customer-service oriented
- Strong organizational and communication skills
- Detail-oriented and reliable
- Comfortable using booking systems and basic computer tools
- Able to multitask in a fast-paced environment
- Interest in fitness, Pilates, or wellness is a plus
- Boutique Pilates studio setting
