Virtual Assistant -Executive Assistant
About the Role
We are looking for an experienced Executive Assistant to work closely with our CEO and help keep the business running smoothly.
This role goes beyond scheduling and administration. You will become a trusted partner to the CEO, helping manage priorities, communications, projects, and day-to-day operations. Your support will allow the CEO to focus on growing the organization while ensuring important tasks and initiatives continue moving forward.
The ideal candidate has experience supporting senior leaders and is confident managing calendars, emails, projects, and confidential information in a fast-paced environment. Experience in childcare, education, nonprofit, or service-based organizations is highly valued.
What You'll Be Doing- Manage the CEO's calendar, meetings, appointments, and travel arrangements.
- Organize and prioritize emails, ensuring urgent matters receive prompt attention.
- Draft and respond to professional communications on behalf of the CEO when required.
- Coordinate meetings, track action items, and follow up with stakeholders.
- Support business projects, strategic initiatives, and organizational growth activities.
- Monitor priorities and provide updates to help keep projects on track.
- Build and improve systems, processes, and workflows that increase efficiency.
- Organize digital files, records, and important business documentation.
- Liaise with vendors, community partners, and key stakeholders.
- Assist with compliance, licensing, and operational documentation when needed.
- Handle sensitive information with professionalism and discretion.
- Proactively identify challenges, solve problems, and help move initiatives forward.
- At least 5 years of experience supporting senior executives, founders, or C-level leaders.
- Strong understanding of the childcare, education, or early childhood learning sector.
- Excellent written and verbal communication skills.
- Highly organized and able to manage multiple tasks and deadlines independently.
- Strong problem-solving skills with the ability to make sound decisions and take initiative.
- Comfortable working in a fast-paced environment with changing priorities.
- Experience supporting nonprofit organizations is an advantage.ite organizations is a strong advantage.
