DUTIES AND RESPONSIBILITIES:

Vehicle Condition Monitoring and Fleet Maintenance Support:

  • Conduct regular visual checks of assigned vehicles.
  • Record vehicle condition, mileage, and any observed issues.
  • Monitor change oil, battery health, tire tread depth, and air-conditioning condition.
  • Coordinate findings with service provider if action is required.

Work Order Creation and Maintenance Coordination:

  • Identify maintenance or repair requirements
  • Open work orders in the system
  • Coordinate schedules with accredited suppliers and service providers
  • Follow up on work completion and documentation

Preventive Maintenance Scheduling Support:

  • Track preventive maintenance schedules.
  • Remind drivers or service providers of upcoming maintenance.
  • Update maintenance status upon completion.

Coordination and Communication:

  • Communicate transport schedules or maintenance requirements.
  • Relay instructions or updates related to vehicle servicing.
  • Coordinate the availability of vehicles during maintenance.

Recording and Reporting:

  • Collect odometer readings from vehicles or drivers.
  • Record fuel issuance and fuel receipt data
  • Calculate fuel consumption and efficiency
  • Validate the accuracy of data before reporting

Fuel Expense Monitoring:

  • Extract fuel data from system reports
  • Segregate data by car plan, transport, and Office of the President/Owner.
  • Consolidate fuel expenses into standard reporting templates
  • Submit reports to management as required.

Preventive and Corrective Maintenance Expenses Monitoring Support:

  • Track PM/CM Expenses
  • Extract expenses report from the system.

Administrative and Operational Transport Support:

  • Maintain transport checklists and files
  • Assist in preparing operational reports
  • Perform other transport-related tasks assigned by the immediate superior

MINIMUM QUALIFICATION REQUIREMENTS:

  • Bachelor’s degree in business administration, Transportation Management, Logistics, Automotive Technology or a related field.
  • At least 1–2 years of experience in transportation coordination, fleet management, logistics or automotive.
  • Prior experience in automotive industry is a strong advantage.
  • Proficient in Microsoft Office (Excel, Word, Outlook).
  • Proficient in using SAP EAM S/4 HANA (Plant Maintenance Module) is a strong advantage
  • Familiarity with automotive maintenance, parts, and functions is preferred
  • Basic knowledge of transportation regulations, safety guidelines, and compliance requirements.
  • Ability to maintain accurate records and generate reports.
