TENANT RELATIONS OFFICER

The Tenant Relations Officer is Primary liaison between tenants and the property management team. Onboarding new tenants, addressing concerns, coordinating service requests, managing tenant engagement activities, and ensuring compliance with property rules and regulations.

DUTIES & RESPONSIBILITIES:

Tenant Onboarding & Orientation
  • Conduct tenant orientations, explaining house rules, operational procedures, safety protocols, and available services.
  • Coordinate with security, engineering, and leasing teams to ensure a smooth move-in process.
  • Ensure all onboarding documents are signed and filed.
Tenant Communication & Relationship Management
  • Serve as the main contact for tenant concerns, requests, and inquiries.
  • Maintain regular communication channels (emails, notices, newsletters, tenant meetings).
  • Build rapport with tenants to encourage cooperation and loyalty.
Service Request & Issue Resolution
  • Log and monitor service requests using the property’s management system.
  • Coordinate with facilities, housekeeping, and security teams for timely resolution.
  • Follow up on service requests to confirm tenant satisfaction.
Compliance & Monitoring
  • Conduct regular inspections of common areas and leased premises (with proper notice) to check compliance with lease terms and house rules.
  • Issue notices for violations and work with tenants to address issues.
Emergency Preparedness & Support
  • Assist in emergency drills, safety briefings, and disaster response.
  • Maintain updated emergency contact information for each tenant.
Reporting & Documentation
  • Maintain up-to-date tenant databases and service request logs.
  • Prepare monthly tenant satisfaction, feedback, and incident reports.
  • Recommend process improvements based on data analysis.

Qualifications/Requirements

JOB REQUIREMENTS:

  • Bachelor’s degree in Business Administration, Hospitality Management, Property Management, or related field.
  • At least 2–3 years of experience in tenant relations, customer service, or property management (commercial or mixed-use environment preferred).
  • Strong interpersonal, communication, negotiation and conflict resolution skills.
  • Proficiency in MS Office and property management software.
  • Knowledge of ISO 9001:2015 QMS principles is an advantage.
  • Must be willing to work onsite and shifting schedule depending on the operational needs of the company.
