Schedule: Monday to Friday, 4AM–8AM (Newport Beach, CA)

Total Weekly Hours: 20 Hours

Our client is seeking a highly organized and detail-oriented Administrative Assistant to serve as the right hand to a thriving multi-business entrepreneur. In this role, you’ll be responsible for keeping property management operations on track, producing critical monthly reporting, and implementing automation systems that enhance efficiency.

Responsibilities
  • Generate monthly Airbnb property reports by collecting and analyzing guest and payment data
  • Prepare financial summaries and occupancy reports for property management stakeholders
  • Manage invoice creation, distribution, and billing across multiple business lines
  • Conduct research and lead generation activities, including contact information gathering and meeting scheduling
  • Set up and monitor Google Alerts and automated systems for business intelligence
  • Implement ChatGPT-powered automation and streamline workflows as directed
  • Support day-to-day administrative functions across property management, photography, and video production businesses
  • Maintain organized records and ensure timely completion of recurring administrative tasks
Requirements
  • Advanced proficiency in Microsoft Excel and Google Suite for reporting and data analysis
  • Strong attention to detail with proven experience in financial data entry and report preparation
  • Track record of success in administrative support, invoice management, and billing
  • Quick learner with the ability to master new platforms and systems efficiently
  • Exceptional organizational skills with the ability to manage multiple business lines simultaneously
  • Reliable high-speed internet connection and professional remote work setup
  • Experience with research, lead generation, or automation tools preferred
  • Self-motivated with strong time management skills in a remote environment
