- This role is an all-rounder administrative position focused on supporting a financial planning business with strong emphasis on CRM management, document handling, and maintaining accurate and audit
- We are looking for someone with strong foundational administrative skills who can be trained and developed over time into more complex responsibilities.
- This role will be directly managed and trained by our team, so we are prioritizing attitude, attention to detail, and consistency over technical experience.
Skills Required:
- Attention to Detail: A non-negotiable commitment to 100% accuracy in data entry and document naming; you naturally catch errors that others miss.
- Process Discipline: The ability to strictly follow Standard Operating Procedures (SOPs) and maintain a "pixel-perfect" digital filing system.
- Professional Communication: Strong written English skills with the ability to provide clear, concise daily progress updates.
- Technical Literacy: Proficiency in Microsoft 365 (specifically SharePoint) and a strong willingness to master complex CRM logic.
- Self-Direction: A reliable work ethic with the ability to manage a daily workload and flag blockers proactively without being prompted.
Nice to Have:
- Previous experience in the Australian Financial Services industry (Financial Planning or Mortgage Broking).
- Hands-on experience using Xplan or MyCRM.
- Experience with SharePoint architecture and document version control.
- Familiarity with AU compliance standards or supporting Australian-based clients.
What will you do?
You will be directly managed by the onshore team to ensure the administrative and compliance side of the business is seamless and audit-ready:
- CRM & Data Ownership: Maintain and update client records across Xplan and MyCRM, including the high-accuracy entry of Fact Finds, assets, and liabilities.
- Document Management: Rename, organize, and archive client documents into SharePoint, ensuring all folders follow a strict and consistent structure.
- Compliance & File Prep: Conduct regular checks of client files against internal requirements to identify and flag any missing or inconsistent information.
- Administrative Support: Assist with inbox organization and basic email drafting to ensure smooth communication with stakeholders.
- Daily Reporting: Provide a mandatory end-of-day activity snapshot via Slack to ensure transparency and accountability.
- Secondary Support: Provide backup assistance for the mortgage broking function, including basic lender follow-ups and document uploads when needed.
