The Warehouse Logistics Specialist is responsible for coordinating warehouse operations, inventory movement, storage, dispatch, and logistics activities within a food manufacturing environment. The role ensures that raw materials, packaging materials, finished goods, and other supplies are properly received, stored, handled, and delivered in accordance with company standards, food safety requirements, and production schedules.

The position works closely with Production, Purchasing, Quality Assurance, Planning, Sales, and third-party logistics providers to ensure accurate inventory, timely deliveries, efficient warehouse utilization, and compliance with Good Manufacturing Practices and food safety standards.

Key Responsibilities

Warehouse Operations
  • Coordinate the receiving, inspection, unloading, storage, picking, staging, and dispatching of raw materials, packaging materials, and finished goods.
  • Ensure that all inbound and outbound deliveries are properly documented, counted, and verified against purchase orders, delivery receipts, and transfer documents.
  • Monitor the proper storage and handling of dry, chilled, frozen, and temperature-sensitive food products.
  • Ensure that warehouse areas are clean, organized, secured, and compliant with food safety and sanitation standards.
  • Implement and maintain proper warehouse zoning, product labeling, pallet identification, and location management.
  • Coordinate daily warehouse activities based on production requirements, delivery schedules, and inventory availability.
Inventory Management
  • Maintain accurate inventory records through regular cycle counts, wall-to-wall inventory counts, and stock reconciliation.
  • Investigate inventory discrepancies, damages, spoilage, expired items, and variances, and recommend corrective actions.
  • Monitor stock levels and coordinate with Purchasing, Planning, and Production regarding critical, excess, slow-moving, and near-expiry inventory.
  • Implement proper stock rotation procedures, including First-In, First-Out and First-Expired, First-Out.
  • Ensure that rejected, damaged, expired, and non-conforming materials are properly identified, segregated, and documented.
  • Monitor product shelf life, batch numbers, manufacturing dates, and expiration dates.
Logistics and Distribution
  • Coordinate the timely dispatch and delivery of finished goods to stores, customers, distribution centers, or other company locations.
  • Prepare delivery schedules, route plans, loading plans, and dispatch documentation.
  • Coordinate with company drivers, truck helpers, third-party logistics providers, and delivery partners.
  • Monitor delivery status, turnaround time, proof of delivery, rejected deliveries, and returned products.
  • Ensure that delivery vehicles meet cleanliness, sanitation, loading capacity, and temperature-control requirements.
  • Assist in optimizing delivery routes, truck utilization, transportation costs, and delivery lead times.
Food Safety and Compliance
  • Ensure compliance with Good Manufacturing Practices, Hazard Analysis and Critical Control Points, food safety policies, sanitation procedures, and warehouse safety standards.
  • Monitor temperature requirements for chilled, frozen, and temperature-sensitive materials during storage and transportation.
  • Coordinate with Quality Assurance regarding product inspection, quarantine, release, rejection, and disposal.
  • Maintain warehouse records required for internal audits, customer audits, regulatory inspections, and traceability exercises.
  • Participate in product recall simulations, traceability activities, and food safety investigations.
  • Ensure pest-control, sanitation, waste disposal, and housekeeping requirements are properly implemented.
Documentation and Reporting
  • Prepare and maintain receiving reports, dispatch reports, inventory reports, stock movement records, delivery monitoring reports, and warehouse utilization reports.
  • Ensure all warehouse transactions are accurately and promptly recorded in the inventory or Enterprise Resource Planning system.
  • Monitor key warehouse and logistics performance indicators, including inventory accuracy, order fulfillment, delivery performance, damages, spoilage, and transportation costs.
  • Prepare incident reports for product damage, delivery issues, stock variances, equipment problems, and safety concerns.
  • Recommend process improvements to improve warehouse efficiency, inventory accuracy, food safety, and delivery performance.
Coordination and Continuous Improvement
  • Coordinate with Production, Quality Assurance, Purchasing, Supply Chain, Sales, Finance, and other departments regarding warehouse and logistics concerns.
  • Assist in developing and improving warehouse procedures, work instructions, controls, and performance standards.
  • Support warehouse layout improvement, space utilization, process mapping, and productivity initiatives.
  • Assist in training warehouse personnel on proper material handling, food safety, inventory control, and documentation procedures.
  • Perform other warehouse, logistics, and supply-chain-related duties that may be assigned.
Qualifications
  • Bachelor’s degree in Logistics, Supply Chain Management, Industrial Engineering, Business Administration, Operations Management, or a related field.
  • At least 3 years of relevant experience in warehouse, inventory, logistics, or distribution operations.
  • Experience in food manufacturing, food processing, commissary, cold storage, restaurant supply chain, or fast-moving consumer goods is required or strongly preferred.
  • Knowledge of warehouse operations, inventory control, transportation, dispatching, and distribution processes.
  • Familiarity with First-In, First-Out, First-Expired, First-Out, Good Manufacturing Practices, Hazard Analysis and Critical Control Points, and food safety standards.
  • Experience handling raw materials, packaging materials, chilled products, frozen products, and finished goods is an advantage.
  • Proficient in Microsoft Excel, warehouse management systems, and Enterprise Resource Planning or inventory systems.
  • Willing to work onsite, on shifting schedules, during holidays, or extended hours depending on operational requirements.
  • Amenable to work in Mandaue, Cebu.
