The Opportunity
We are seeking a highly capable Administrative Assistant to provide high-level executive support and ensure the smooth day-to-day operations of leadership workflows. This role is critical to maintaining organization, efficiency, and execution across key business priorities.The ideal candidate is proactive, highly organized, and able to manage multiple priorities independently while anticipating needs and solving problems with minimal direction.
Key Responsibilities- Provide high-level administrative support to executives, including calendar management, meeting coordination, travel planning, and follow-up execution
- Build, maintain, and optimize organizational systems to manage priorities, deadlines, and ongoing initiatives
- Track action items, projects, and deliverables using task management platforms (Asana, Monday.com, Trello, ClickUp, or similar)
- Serve as a central point of coordination between executives and internal/external stakeholders
- Prepare documents, reports, agendas, and summaries with strong attention to detail
- Proactively identify workflow inefficiencies and recommend process improvements
- Manage confidential information with discretion and professionalism
- 3+ years of experience in an executive or senior-level administrative support role
- Proven ability to manage complex calendars, shifting priorities, and multiple projects simultaneously
- Strong working knowledge of task and project management systems
- Highly organized with a task-oriented, execution-focused mindset
- Excellent written and verbal communication skills
- Strong judgment, discretion, and professionalism
- Extremely detail-oriented with strong follow-through
- Self-starter who takes initiative and ownership
- Strong organizational and time management skills
- Ability to prioritize and adapt in a fast-paced environment

- Time Schedule: 9:00 AM to 6:00 PM CST or equivalent to 10:00 PM to 7:00 AM PHT
