Job Summary:

The Purchasing Officer must ensure that all aspects of our production and procurement chain are working together to fill orders and deliver orders on a timely basis. They will review all processes and systems and design and implement new plans and procedures as needed.

They are also responsible for creating and maintaining contingency plans.

  • Working with key vendors to ensure an effective and reliable supply chain is maintained,
  • Forecasting using a proprietary in-house excel based system,
  • Raising and confirming purchase orders using excel and Xero financial software,
  • Entering purchase order details into internal databases and analysis tools,
  • Negotiating pricing and contract terms,
  • Reviewing quality of purchased products,
  • Working with key vendors on planning of production and supply,
  • Maintaining records or purchased products, delivery information and invoices,
  • Reconciling supplier invoices with delivered products and purchase orders,
  • Cost analysis of purchased products,
  • Providing information on purchasing and supply to other business functions such as sales and operations,
  • Working with shipping companies to source best services and delivery options for shipments,
  • Booking shipping and deliveries,
  • Working with customs brokers on incoming shipments in various countries globally
  • Maintaining internal databases on shipping and customs details,
  • Research and sourcing alternative vendors where required.

Qualifications

Education, Skills & Experience:

  • Minimum of 2-4 years experience in a purchasing, procurement or office administration position,
  • Good knowledge of vendor sourcing practices,
  • Excellent teamwork and collaboration skills,
  • Excellent communication skills, both written and verbal
  • Excellent English skills are necessary and Mandarin language skills an advantage
  • Advanced computer skills – Excel, Word, PowerPoint
  • Previous experience using Xero accounting software preferred,
