Job Summary:
The Sales Admin Assistant plays a crucial role in supporting the sales and customer service teams in a motor vehicle dealership. This position involves maintaining inventory, preparing sales transaction documentations, and ensuring that the sales processes run smoothly.The role also involves supporting after-sales services and ensuring customer satisfaction.
Key Responsibilities:
- Support sales representatives by managing vehicle inventory, ensuring that all vehicles are properly accounted for.
- Monitoring showroom walk ins and vehicle test drives schedule.
- Booking shipment with third party forwarder, and scheduling pull out of units from the port.
- Assist with the completion of sales paperwork, including contracts, financing agreements, and insurance documents.
- Ensures that the vehicle is ready for release to client (i.e. tint, matting and kit)
- Monitoring and booking of tint schedule with third party suppliers.
- Help manage and update customer databases, ensuring that all records are accurate and up to date.
- Maintain a clean and organized showroom, ensuring that all vehicles are properly displayed and cleaned.
- Assist with processing vehicle orders, deliveries, and any other operational tasks as needed.
- Assist with preparation of bidding documents.
- Monitoring schedule of MVSS liaison.
- Monitoring of LTO OR CR and plate numbers for release.
- Daily and weekly report on unit inventory, vehicle OR CRs and plate numbers.
Skills and Qualifications:
- High school diploma or equivalent (a degree or certification in business, automotive management, or a related field is a plus).
- 1-2 years of experience in customer service or sales, preferably in the automotive industry.
- Strong communication skills, both written and verbal.
- Customer-focused attitude with a commitment to providing excellent service.
- Knowledge of motor vehicles, including different models, features, and specifications, is beneficial.
- Ability to multitask and handle multiple tasks simultaneously.
- Strong organizational skills with attention to detail.
- Ability to work in a team environment and collaborate with sales, service, and management teams.
- Positive attitude and a willingness to learn about automotive products and services.
