We are seeking a highly motivated, intelligent and proactive Executive Assistant to directly support the CEO.
This role is not a traditional administrative role. We are looking for someone who can become a trusted extension of the CEO, helping manage day-to-day priorities, business operations, communications and executive coordination.
Position Overview
The Executive Assistant will be responsible for supporting the CEO across business and operational activities, ensuring priorities are managed efficiently and nothing falls through the cracks.
The successful candidate must be highly organised, professional, discreet and able to work comfortably in a fast-paced environment involving multiple countries, projects and stakeholders.
This position requires someone who takes initiative, solves problems independently and stays two steps ahead.
Key Responsibilities
Executive Support- Manage CEO calendar, meetings and travel arrangements
- Coordinate domestic and international travel
- Organise meeting schedules, agendas and follow-up actions
- Screen and prioritise emails and communications
- Prepare reports, presentations and executive summaries
- Track tasks and deadlines to ensure completion
- Coordinate with internal teams across Australia and Philippines
- Follow up with customers, suppliers and partners
- Assist with proposal preparation and documentation
- Track business opportunities and sales activities
- Support tender submissions and commercial documentation
- Maintain and organise company records and files
- Draft professional emails and correspondence
- Liaise with clients, executives and external partners
- Coordinate meetings with senior stakeholders
- Ensure timely follow-up and communication
- Assist with general business administration
- Support project coordination activities
- Help identify and improve internal processes
- Maintain confidentiality across all company matters
- Minimum 3–5 years experience as an Executive Assistant, Executive Coordinator or similar role
- Excellent written and verbal English communication skills
- Strong organisational and time management skills
- High attention to detail
- Ability to manage multiple priorities simultaneously
