Job Summary:

The Order Admin is responsible for coordinating and managing the end-to-end customer order fulfillment process, ensuring timely, accurate, and compliant execution of all orders. The role serves as a central point of coordination between Customer Service, Warehouse Operations, and Dispatch, ensuring seamless communication and alignment across teams.

Duties and Responsibilities:

  • Receives, prioritizes, and fulfill customer orders in a timely and efficient manner and observing the proper cut-off time.
  • Checks and ensures all Sales Order (SO) have complete details, correct and complete item code, hospital name, address, contact person, contact number, date needed and with corresponding approval of superiors.
  • Schedules and releases orders for shipment according to sales and customer requirements.
  • Closely monitor the preparation of the items, ensure that assigned warehouseman and order filler fulfill the request aligned to the turn-around-time of two (2) days for consumables and three (3) days for equipment and comply with safety procedures for Equipment units.
  • Monitors the SO with non-stock items, closely coordinate with Inventory Pharmacist for IPR’d and LPR’d items and pending SO.
  • Keep CSR proactivitely informed about the status of their orders and vice versa.
  • Prepares and submits Daily Accomplishment Report, Order Fulfillment Report to Warehouse & Inventory Control Manager daily before end of business day.

Qualifications:

  • Graduate of any 4-year course.
  • With at least 6 months - 1 year relevant experience
  • Computer proficiency
  • Excellent communication and interpersonal skills.
